Our client is looking for highly experienced and motivated Executive Assistant to support the CEO and COO

POSITION SUMMARY


The Executive Assistant will primarily be responsible for the success of our client. This highly experienced and motivated candidate will work a hybrid work schedule and be committed to providing comprehensive support directly to our client. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.

PRIMARY RESPONSIBILITIES

  • Provide sophisticated calendar management. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements. Arrange and handle all logistics for meetings and events.
  • Work closely with our client to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a 'barometer,' having a sense for the issues taking place in the environment and keeping our client updated. Anticipate our clients' needs in advance of meetings, conferences, etc.
  • Complete a broad variety of administrative tasks that facilitate our clients' ability to effectively lead, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports.
  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to our clients, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect our client's vision and mission.
  • Be a technical resource as it relates to the use of technology tools and software.
  • In collaboration with the Operations team, you will assist with the coordination of all team meetings, retreats and staff events as needed.
  • Follow up on contacts to cultivate ongoing relationships.
  • Other projects/duties as assigned for the overall benefit of our client.

QUALIFICATIONS/EXPERIENCE

SUCCESSFUL CANDIDATES MUST POSSESS THE FOLLOWING QUALIFICATIONS:

  • Bachelor's degree preferred along with a minimum of 10 years of relevant experience.
  • Flexible hours as dictated by the needs of our client for projects and meetings.
  • Strong ability to execute work with cultural sensitivity.
  • Significant executive support experience.
  • Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
  • Ability to communicate effectively and professionally.
  • Exceptional organizational skills and impeccable attention to detail.
  • High degree of professionalism in dealing with diverse groups of people, including government officials, client senior executives, staff, community leaders, business owners and the community at large.
  • Make appropriate, informed decisions regarding priorities and available time.
  • Ability to complete a high volume of tasks and projects with little or no guidance.
  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
  • Able to maintain a high level of integrity and discretion in handling confidential information.
  • Excellent judgment is essential.
  • Ability to switch gears at a moment's notice.

As such, compensation for this role is competitive. The starting salary is $75,000 and up, commensurate with candidate's experience.
