Description
The Executive Assistant to the President and CEO, manages and coordinates the administrative functions of the CFO and supervises the Office Administrator. Works independently under broad direction solving complex technical and administrative problems.

As an integral part of the AFT administration team, the Executive Assistant is responsible for providing high-level administrative support to the CFO through conducting research, preparing reports, handling information requests, managing assignments and performing clerical functions such as document control and scheduling meetings. Liaising for the CFO when she can not attend meetings or calls.

What You’ll Be Working On
  • Manages and maintains CFO’s calendar, coordinates meetings, events and conference calls.
  • Assists in development and organization of office policies, procedures and standard operations and administration guides.
  • Supervises one staff member.
  • Helps to craft the flow of information of the Finance and Administration team as well as helping to find the best candidates for the team.
  • Conducts as needed project management, research, and outreach.
  • Hiring and onboarding support, including technical support.
  • Plans team building events, outings, internal office events, venue selection, etc.
  • Assists with vendor management & contract routing.
  • Liaisons with IT managed services provider.
  • Oversee corporate insurances, registrations and office leases.
  • Researches and resolves issues; refers high impact issues to appropriate personnel; follows-up to ensure incoming issues have been properly addressed and resolved.
  • Performs a variety of finance-related functions including but not limited to processing expenses for the CFO, subscriptions and professional memberships applications/renewals, state registrations, certificates of insurance & sales tax exemptions.
  • Attends various meetings as requested to maintain awareness of all day-to-day finance and administration; prepares written and verbal summary reports for the CFO as necessary; tracks and follows up on action items.
  • Performs general office duties for the CFO such as calendar & email management; preparing and processing forms, expense reports, and filing and retrieving corporate documents, records, and reports as needed.

Requirements

  • Strong organizational, technical, and analytical skills with the ability to take ownership to create effective outcomes on multiple tasks, adjusting priorities to meet shifting demands, ambiguity and project timelines while working independently.
  • Technology savvy; proficient with Microsoft Office suite including Teams & SharePoint. An ability to learn Dynamics is a must.
  • Experience creating and managing administrative systems and processes.
  • Strong problem-solving skills and the ability to apply learned skills to business processes to recognize and correct potential issues/discrepancies, etc.
  • Strong verbal and written communications skills with the ability to build long-term constructive and cooperative working relationships with internal and external stakeholders. Ability to lead conversations and meetings.
  • Sufficient understanding of common finance lingo as well as general administrative operations to be able to work with the CFO who oversees Finance, Accounting, HR, IT and Data Systems.
  • Documentation and recordkeeping skills with the ability to compile, review and data enter a variety of information manually and electronically and in compliance with corporate policy.
  • Strong interpersonal skills that reflect a customer-service oriented approach to daily tasks.
  • Willing to cover Administrative Coordinators’ duties while they are on Leave temporarily.
Education & Experience
  • 3 years relevant experience working for a senior level executive.
  • Supervisory experience: this position oversees the Administrative Coordinator.
Travel
Travel may be required for this position. It is anticipated that travel will be required less than 10% of the time.
