Location: This role is remote and open to candidates in the United States but must be willing to work to the Central Standard Time Zone

Your Mission:

We’re looking for an Executive Assistant to contribute to our mission and enable our expansive growth by supporting our CRO and more broadly the Executive Leadership Team (ELT). Specifically, the Executive Assistant oversees all administrative duties, operational services, and executive support essential to the ELT. This includes executive logistics, special activities coordination, facilitating communication across departments, event and meeting planning, guest experience, business procedures, and data entry.


Responsibilities Include:


  • Provide high-level administrative support and assistance to the CRO and/or other assigned leadership staff
  • Data entry into various technologies such as Salesforce.com, and Microsoft: Teams, PowerPoint, and Excel, and report critical data outcomes in graphical presentations
  • Thoughtful attention and discretion around highly confidential matters, and at times personal information, particularly as it pertains to leadership’s ability to effectively and efficiently focus on business priorities
  • Provide sophisticated calendar management for CRO. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements
  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CRO, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect CRO’s style and organization policy
  • Work closely with the CRO to keep him well-informed of upcoming commitments and responsibilities. Act as a "barometer," having a sense for the issues taking place in the environment and keeping the CRO updated. Anticipate CRO’s needs in advance of meetings, conferences, etc.
  • Provide "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the CRO and other staff, demonstrating leadership to maintain credibility, trust, and support with the Executive Team. Complete projects by assigning work to appropriate staff, including the Executive Team, on behalf of the CRO
  • Oversee business travel arrangements, prepare itineraries, and manage travel accounts and track submit expenses
  • Draft and send email responses or other correspondence on behalf of the CRO and ELT members. This may include prioritizing, organizing, routing, drafting, proofreading, or responding to email proactively on behalf of the CRO and others if appropriate
  • Responsible for fine-tuning, proofing all presentation materials in PowerPoint / Keynote and ensuring accuracy of content
  • Drives collaboration, communication, and action across the organization, including improvement of the organization’s processes around administration services, and related procedures or systems
  • Plan and organize offsite events with limited travel to conferences and site scouting required
  • Organize and track the Revenue Team’s business process and reporting documentation
  • Order and maintain supplies as needed

Qualifications Include:


  • Four-year college degree or relevant business experience required
  • 5-7 years of demonstrated success supporting C-level executives
  • In-depth knowledge and proficiency of Microsoft Office (Word, Teams, Excel and PowerPoint)
  • Ability to handle sensitive information with a high degree of confidentiality
  • Must be innovative and make substantial individual, strategic, and tactical judgments and recommendations
  • Excellent interpersonal skills, requiring professionalism, flexibility, negotiation, determination, and the ability to manage strong personalities
  • Exceptional organizational skills: Proven ability to manage multiple projects, work under pressure, and consistently make deadlines
  • Outstanding written and oral communication skills; must be able to work with and collaborate with both colleagues internally and customers, partners, and stakeholders externally
  • Proven ability in compiling, assembling, analyzing, and summarizing data
  • Make appropriate, informed decisions regarding priorities and available time
  • Ability to complete a high volume of tasks and projects with little or no guidance
  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround
