Executive Assistant to the Founder & CEO Job at Project Healthy Minds

Project Healthy Minds New York, NY

ABOUT PROJECT HEALTHY MINDS

Project Healthy Minds is a mental health tech non-profit startup. We are pioneering a first-of-its-kind model - applying technology to address one of the biggest social issues of our time: the growing mental health crisis. We believe in a simple but profound idea: that it should be as easy to find mental health services as it is to book a flight or a restaurant reservation. That's why we're building the world’s first digital marketplace for finding mental health services that are right for you.
To do that, we work with some of the most inspiring and influential leaders in America - business titans, tech entrepreneurs, clinicians and scientists, musicians, artists, athletes, media stars, policymakers, and more. Because we believe that the world's most complex challenges require interdisciplinary teams and solutions.
We are backed by a powerhouse of industry-leading Board of Directors and Advisory Council Members who are passionate, hands-on, and dive into the important work with us.

ABOUT THE ROLE

IN THE WORDS OF OUR FOUNDER & CEO:
Over the last decade, I’ve had the good fortune to get to work with extraordinary teams and incredibly talented people – the kind of people who inspire and push you to become a better version of yourself. Whether it was in the Obama White House at the National Economic Council or at BlackRock in the Vice Chairman or Global CMO’s office, I have always worked in the “front office” – working first as the young staffer then as the Chief of Staff for high-powered, talented, impactful leaders.

What I learned from all of those experiences is that when a leader finds the right executive assistant, they are an unstoppable force of nature together. That’s who I am looking for in this role – someone who works hard and will get into the trenches with me, someone who has high EQ and is good at working with all of the different types of stakeholders that I interface with (from CEOs of big public companies to founders of startups that have become household names to celebrities to clinicians to my colleagues at work to external partners to the people we serve), someone who is smart and able to “connect the dots” across all of our work, someone who is incredibly organized and detail-oriented to help me run the Office of the CEO, someone who has a knack at anticipating needs and what will happen next, and someone who is just a joy to work with every day. Essentially, I am looking for a partner-in-crime as we build and scale Project Healthy Minds.

Beyond all of the “normal” reasons for why you should work with me, what I hope this role offers to you is a few things:
  • I think you’ll learn and grow at a faster pace than any other role you’ve had in the past – learning about building a startup, learning about harnessing technology to solve a massive social problem, learning about the media and entertainment industry and how deep partnerships are built and nurtured, learning about how to partner with scientists and clinicians to translate the best of the medical world into technology products that can make a difference in people’s lives, building a vibrant community of leaders and philanthropists who all support a non-profit, learning how to drive public policy change by working with stakeholders in the policy world, and learning about how make mental health the next big issue for CEOs and corporations.
  • I think it’ll be deeply meaningful and purposeful work – you will be at the epicenter of pioneering a new model for what a non-profit can look like, how it can operate like a tech company, and the kind of impact it can have in the world.
  • I think it’ll be the ride of a lifetime - getting to work with some of the most talented, genuinely interesting, and fun colleagues I’ve ever had the pleasure to work with in my career.

WHAT WE'RE LOOKING FOR:
We’re hiring an Executive Assistant to support the Founder & CEO of Project Healthy Minds. In this role, you are the right arm to the Founder & CEO, providing dynamic and invaluable support and advancement in every dimension of his work, from scheduling and correspondence to research and strategy. You will be active in vetting internal and external requests and ensuring timely management of all inquiries, directing and collecting assignments to and from appropriate staff as guided by the CEO, taking the lead on researching and briefing preparation, managing scheduling, and spearheading special projects, partnerships, and events as assigned by the CEO. You will be the voice and representative for the CEO often, so you should have and maintain the presence, gravitas, and EQ to interact and interface with our Board of Directors and Advisory Council, major/VIP donors, external stakeholders and partners, senior leaders and staff members on a wide range of fundraising, programmatic and operational projects.

ABOUT YOU

HOW YOU’LL CONTRIBUTE:
  • Manage the day-to-day operations of the executive office of the CEO including drafting correspondence, scheduling, planning, scribing and tracking follow-up with external and internal meetings of senior leadership, the Board of Directors and major donors.
  • Join meetings with the CEO, take notes, and help drive follow-ups and projects.
  • Perform a broad variety of administrative tasks for the CEO including managing an active calendar, processing expense reports, arranging travel plans, and preparing itineraries and agendas for meetings.
  • Work closely with the CEO to keep him well informed of any upcoming commitments and following up as appropriate.
  • Prioritize any conflicting needs and handle matters expeditiously, proactively and follow-through on projects or initiatives of the Office of the CEO.
  • Provide a bridge for robust communication between the Office of the CEO, other direct reports, and other internal colleagues.
  • Collaborate with various senior leaders and team members to ensure timely completion of projects and initiatives.

OUR IDEAL CANDIDATE IS:
  • A proactive self-starter – you are a fast learner, have high EQ, have an uncanny ability to anticipate what is needed, and you don’t wait for someone else to ask you to do something - you beat everyone else to getting it done.
  • A lifetime learner – You identify as a critical-thinker and deep listener. You’re eager to ask questions, research new topics, and apply learnings skillfully.
  • Detail-oriented – When it comes to your work, you are hyper-organized with a keen attention to detail.
  • An operations guru - you love creating efficient processes, building new ways of working, and ensuring that teams are working in as effective and efficient a manner as possible.
  • A multi-tasker – you are a strong project manager who can move back and forth between different projects while prioritizing effectively.
  • A thoughtful writer – ideally, you have written for executives or other principals, and so you understand how to write in someone’s voice and style.
  • A strong communicator – Building relationships is one of your core competencies. You care about delivering top-notch customer service, teamwork, and demonstrating that you care about supporting all stakeholders’ needs.
  • Collaborative – No task is too big or too small. You thrive in an entrepreneurial fast-paced environment and know when to take ownership and when to ask for help.
  • Adaptable – You are highly comfortable in a changing environment.
  • Trustworthy you have a proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of professionalism.
  • Mission-driven – you are passionate about our work and eager to build something brand new in the mental health non-profit space.
  • Experienced – Bachelor’s degree and at least 2-4 years of experience preferred.

WHAT WE OFFER

  • Competitive nonprofit compensation
  • Floating holidays and generous PTO
  • Recurring employee off site and professional development experiences
  • Competitive medical, dental, and vision benefits
  • Experience of joining a dynamic start-up environment that is re-writing the playbook for social change in the mental health tech space
  • Benefits of joining a close-knit, highly-motivated team with mentorship opportunity from founding leaders, Advisors, and Board members
  • Opportunity to attend inspiring experiences and events with thought leaders, business executives, and iconic speakers across a range of industries

The annual salary for this role is between $55,000 and $75,000.
