POSITION SUMMARY

This is a position local to the Oak Ridge area but will have support responsibilities in remote locations, particularly Northern Virginia and Colorado Springs. The Executive Coordinator will be responsible for , supporting Aleut Federal Executive Leadership and Group Vice Presidents, as well as functioning in a facility management capacity. We are looking for a detail oriented, vibrant communicator to join us in this vital role..

ESSENTIAL JOB FUNCTIONS

  • Provides administrative support to high level individuals, across multiple departments and groups in our organization.
  • Collects, reviews and analyzes data and prepares reports, charts, budgets, and other presentation materials utilizing word processing, spreadsheet, or specialized software.
  • Prepares and distributes reports or other communications on a regular schedule.
  • Maintains files, databases, and archives of relevant records.
  • Greets visitors and responds to or routes routine inquiries from external or internal sources with appropriate correspondence or other messaging.
  • Schedules and coordinates meetings, travel, and other group activities.
  • Manages expense reporting, purchase card reconciliation, invoicing, office supply inventory, or other routine processes.

Serves as primary Point of Contact for various facility related vendors (Shred service, property management, copier vendor, etc…)

  • Other duties as assigned.

EDUCATION/TRAINING

  • High school diploma or GED

EXPERIENCE

  • 3 years of relevant Administrative Support, experience in supporting a team of Executive Leadership preferred
  • Polished verbal and written communication skills
  • Ability to use computer systems, Microsoft Office software (Word, PowerPoint, Excel, Outlook), database applications, and documentation control systems. Deltek CostPoint experience is a plus.
  • Ability to prioritize, multitask, and meet deadlines
  • Knowledge in using basic office equipment to include fax, copier, scanner, and shredder
  • Excellent interpersonal and communication skills

  • Strong initiative
  • Ability to work under pressure and meet tight deadlines
