POSITION SUMMARY:

The Eye Care Coordinator will schedule patients for appointments, coordinate transportation request and provide front office support, such as faxing, calling, or emailing vendors, answering phone, verifying patient insurances, scheduling appointments, collecting & documenting patients medical and ophthalmic data into their electronic health record (EHR); follow up on patients and patient requests; triage patient phone calls and requests and provide retail optical support, as needed.

The position reports to the Office Manager with accountability to the providers.

PRIMARY RESPONSIBILITIES:
Administrative:

  • Patient Outreach to schedule appointments
  • Coordinate patient transportation request from health center to practice
  • Assist with triaging walk-in patients or urgent care phone calls
  • Review schedules and report scheduling errors
  • Monitor and follow up on medical record requests
  • Assist with scheduling external appointments including follow up to ensure patient was seen and a report is received
  • Follow up with patients who do not keep follow up or urgent appointments
  • Answer incoming calls, schedule appointments, and verify patients insurance
  • Collect required payments
  • Submit and track prior authorizations
  • Assist with completion of forms and letters
  • Report and monitor housekeeping and facilities needs
  • Perform quarterly inventory and order of trial contact lenses
  • Maintain inventory of contact lens solutions
  • Monitor trial contact lenses and contact lens solutions for expiration dates and properly dispose of expired items

Retail Optical Shop:


  • Assist in Optical Shop including assisting patients with frame and lens selection, placing patient orders for eyeglasses and contact lenses
  • Assist Optical Assistant with frame inventories
  • Assist Optical Assistant with telephone calls and other duties as needed.
  • Other duties as assigned, including administrative duties

QUALIFICATIONS:

Possess a high school diploma and at least two years experience in an administrative position, patient service representative, medical or optometric assistant.

Certified Ophthalmic Assistant or Technician preferred. Optical dispensing experience a plus.

Physical Requirments

Physical demands requiring lifting of small pieces of equipment, boxes, and /or patients not to exceed forty (40) pounds. Mostly standing and walking required. Visual acuity sufficient for frequent reading and computer use. Hearing acuity sufficient for holding conversation with or without audio devices.
