File and Records Room / Mailroom / Office Services Coordinator:
The File room Coordinator position is responsible for the upkeep of the file room as well as the vaults containing wills and other critical original documents, and the repository of corporate minute books. The system of databases must be maintained and kept to date to ensure accuracy. In addition to the file room, the Coordinator is responsible for the onsite and offsite storage areas and the tracking of the stored and archived holdings. The mailroom and office services aspect of the position involves incoming and outgoing mail, packaged and special circumstance mailings, postage, and the handling of the postage meter, etc. The clerk is responsible for daily court filings and deliveries within the downtown area with the possibility of distant deliveries, if necessary. The position has a daily impact on each employee of the firm and influences the first impression of clients and guests while visiting our office. The position is very active and requires a great deal of walking, standing, lifting, and a positive approach to fulfill these duties with much interaction with other colleagues. The position will maintain a clean and safe appearance to the office by attending to all kitchen areas, stocking refrigerators, ordering supplies, monitoring photocopiers for paper refill, etc.. The ideal candidate must be very dependable, detail-oriented, have a positive attitude, and take pride in the responsibilities of the position. Proficient in database applications, familiarity with files organization and management in a law practice environment.
