Position Summary

Responsible for providing clerical and administration support to the Finance Department.


Essential Functions

  • Provides exemplary customer service for all internal and external Finance customers by utilizing excellent, in-depth knowledge of the Finance department’s services.
  • Greets and directs guests in a professional, friendly, hospitable manner.
  • Prepares and follows up on purchase order requisitions.
  • Prepares miscellaneous communications both internally and externally.
  • Types memos, correspondence, reports, and other documents.
  • Performs various clerical duties such as photocopying, faxing, filing, scanning, collating, and mailings.
  • Copies, collates and distributes information to and from Finance Department.
  • Creates, maintains & purges the Finance Department’s files, forms & records according to retention guidelines.
  • Prepares agendas and minutes for meetings.
  • Assembles cost and related data for alternative methods of handling projects by contacting other departments and entities to obtain information. Presents finding to the Director of Finance.
  • Gathers materials for manuals, reports, special projects, and assignments.
  • Composes correspondence in collaboration with the Finance Management staff.
  • Keeps the Finance Director informed of significant items requiring review and/or action.
  • Obtains information from staff members, relays assignments, calls attention to deadlines, and obtains progress reports.
  • Maintains frequent contacts for the Director of Finance with other departments and entities.
  • Maintains the professional appearance of the Finance Department’s area and filing space.
  • Answers telephones and directs the caller to the appropriate Finance representative.
  • Takes and retrieves messages for various personnel.
  • Assists in the ordering, receiving, stocking and distribution of office supplies.
  • Completes interoffice mail runs at designated times of the day.
  • Participates in special projects and committees for the Finance Department.
  • Job duties may include soft count responsibilities but not in a supervisory role.
  • Other duties as assigned.

Education

High School Diploma or GED

AA degree in business or related field preferred


Experience

Four years direct administrative support, at the executive level.

One year Finance experience preferred


Computer Skills

Proficient in Microsoft Word, Excel, and Outlook at the intermediate level.

Critical thinking and analytical skills are required.


Certificates & Licenses

Must obtain a Siletz Tribal Gaming License


Other Requirements

Knowledge of budgeting procedures
