ReDiscover is a nonprofit community mental health agency that offers a full spectrum of programs and services for people whose lives have been affected by serious mental illness and/or substance use. ReDiscover helps men, women, and children who have limited income, no insurance or who are under-insured.

POSITION OVERVIEW

Under the general direction of the Office Manager, the Receptionist performs the job after receiving general instructions. Clients served are adults and children in ReDiscover's various programs.

The Receptionist greets clients, notifies therapists/doctors, updates paperwork, collects payments, schedules appointments, and problem solves with clients and staff. The Receptionist answers agency incoming calls and ensures callers are appropriately routed.

Administrative duties shall be conducted in accordance with the policies and procedures of ReDiscover and the contractual requirements of the State of Missouri, Department of Mental Health, Division of Alcohol and Drug Abuse Service.

The Receptionist greets members, vendors, couriers, job applicants and other visitors to the building. Provide first-line security oversight for the office lobby entrance. Perform various administrative duties as needed.

Duties include but are not limited to the following:

  • Greet members, vendors, couriers, job applicants and other visitors in a consistent, professional and friendly manner adhering to proper security protocol and logging activity.
  • Provide security oversight for corporate office lobby by monitoring security screens, checking for badges, etc.
  • Answer phone calls in a timely and welcoming manner and courteously directs the call to the appropriate personnel or program.
  • Abides by all HIPPA laws and maintains confidentiality for all clients and medical records.
  • Ensure the headquarters lobby is constantly staffed during agreed business hours and maintained in a neat and orderly fashion.
  • Manages schedules accurately for new appointments, check ins, and follow ups.
  • Verifies insurance, personal information and account balances. Collects fees when required.
  • Ensures that new charts are ready for use and packets are prepared for programs.
  • Files documents into the chart accurately and thins charts when necessary.
  • Completes initial processing of discharged charts and prepare them for medical records.
  • Track charts and demonstrates the ability to locate missing charts.
  • Accurately enters information into the EMR (i.e.: financial information, assessment forms, billing, etc.).
  • Prioritize workload and manages duties effectively.
  • Works cooperatively with staff to ensure all duties are covered.
  • Manages multiple forms of communication assuring message delivery according to needs/request.
  • Manages projects as assigned and follows them through to completion.
  • Helps manage communication and correspondence between departments.
  • Output of work product/amount of work preformed results in meeting financial/agency goals. (i.e. Meets billable hours, completes billing, etc.).
  • Demonstrates knowledge and skills of job duties and maintains accountability and responsibility for all tasks assigned..
  • Documentation/billing is accurate and meets all standards. (content of billing, accuracy of reports).
  • Consistently evaluates personal strengths and weakness and works to make personal improvements.
  • Work product is performed in a quality manner.
  • Demonstrates culturally competent respect for all clients and guests through verbal and non-verbal behaviors and assists them as needed.

  • Demonstrates willingness to successfully resolve issues, problems, and dilemmas with other staff; resolves conflict with other staff directly.
  • Assist facilities and mailroom staff as needed, cross train to gain basic skills.

  • Perform other duties as assigned.

SHIFTS AVAILABLE:

  • 7:30am to 4:00pm, 8:00am to 5:00pm, 9:00am to 5:40pm,

MINIMUM QUALIFICATIONS:

  • High school diploma or equivalent
  • One to Two years of progressively responsible experience.
  • Previous experience handling large volume of incoming calls as a receptionist.
  • Strong organization skills.
  • Previous experience answering a phone and general comfort with comfort with web-based tools required.
  • Experience with using personal computer and Microsoft Excel.
  • Requires Intermediate computer skills in typing/keyboarding, Microsoft Word and Excel programs as well as Gmail.

PREFERRED QUALIFICATIONS:

  • At least one year of progressive business and/or secretarial training is preferred.
  • Experience in telephone communication and/or general office/secretarial work, or certificate of training from a secretarial program is preferred.

EXPERIENCE:
At least two (2) years' experience in direct service provision in a mental health setting.

  • Proficient with MS Word, Excel.
  • Ability to maintain a high level of confidentiality.
