The Seagate Hotel & Spa is looking to hire a Front Desk Agent at our luxury, upscale location. The Front Desk Agent will represent the company as the first contact to guests of the Seagate Hotel & Spa. This position is responsible for performing essential tasks such as answering phones, greetings guests, administrative tasks and proving first class customer service.


Front Desk Clerk Responsibilities:

  • Confirm sell status for the day
  • Review group bookings, noting any special arrangements/requests and arrival time when noted
  • Organize the reservations for the day’s arrival. Check for duplicate reservations and determine special room requests for pre-blocking
  • Pre-block all VIP, special requests, and needed group reservations
  • Run the necessary daily reports according to the shift, checklist, especially house counts, rooms availability, occupancy, arrivals, and departures
  • Check the status of our hotels
  • Check guests in, following the credit policies
  • Ensure that keys and key cards are secured
  • Ensure that guest problems are resolved and followed through on
  • Take reservations in accordance with the availability
  • Understand outbound mail, message, and package handling procedures
  • Maintain accurate turn away statistics, if required to do so
  • Understand the operation of the property management system
  • Run appropriate daily special request reports and distribute them. i.e. VIP Report, handicapped Guestlist, etc
  • Run credit limit report (morning shift) and complete, including putting messages in boxes of guests whose bills require attention
  • Maintain/provide proper backup for all master accounts and disputed charge accounts
  • Ensure that telephone resale equipment is enabled, report malfunctions to the supervisor
  • Post charges when necessary
  • Follow correct cash handling procedures
  • Handle incoming reservation calls, answer questions, and secure all required information
  • Process related mail, which is received at the hotel, on a daily basis, such as reservation requests and correspondence
  • Be familiar with the steps involved in pre-blocking rooms
  • Process all travel agent commission payments requests
  • Process requested written confirmations and mail daily
  • Be familiar with the local area end be able to give clear directions when needed
  • Promote an effective referral service with other hotels
  • Be aware of the property’s sell status, groups arriving at the hotel, as well as any special promotions or events in the area. Also, be familiar with any citywide conventions that may impact heavily upon sale status
  • Be familiar with property security and key control procedures
  • Understand reservation policies
  • Be familiar with property fire safety and fire emergency procedures
  • Be familiar with emergency phone number listings

  • Communicate in the primary language in a clear, concise, grammatically correct, pleasant, and sincere manner
  • Understand requests and correctly, creatively, and expediently carry them out
  • Be outgoing, friendly, and patient even after working long hours
  • Handle multiple requests with poise, accuracy, and timeliness
  • Understand and practice the policies of the company
  • Use good judgment at all times
  • Work long hours when necessary and be flexible with schedule
  • Stand and walk for extended hours
  • Lift, carry and push up to fifty pounds and pushcart weighing up to 250 pounds
