Essential Functions

  • Hours Monday-Friday only. Average 20 hours per week, with additional hours when covering for staff vacations, etc


  • Answer phone appropriately within 2 rings identifying the location, employee name and “How may I help you?”
  • Fields customer phone calls regarding cancellations and rescheduling and takes appropriate messages to share with therapy staff.
  • Ensures each cancellation or reschedules are noted on daily schedule and appropriately documented.
  • Check all voicemail messages in the morning, and after any staff meeting.
  • Takes appropriate and timely messages and routes to the appropriate staff.
  • Places outgoing messages on main line and personal extension when office is closed due to weather, holidays, etc.
  • Assist callers to best of ability to locate phone number or department requested.
  • Assist with other duties as required.
  • Able to capture all appropriate patient information and schedule patients according to scheduling guidelines provided by therapy staff.
  • Provides insurance verification staff with insurance information to verify benefits prior to the evaluation.
  • Able to utilize the Authnet system to retrieve referrals and schedule in a timely manner.
  • Able to communicate professionally to Authnet and MD office staff when a customer is improperly placed in Authnet or if the order requires more information.
  • Treats customers with respect, courtesy, and privacy when scheduling appointments.
  • Able to effectively and professionally communicate scheduling issue to supervisor and therapy staff in a timely manner.
  • Responsible for daily/monthly volume report for referrals, cancellations, no shows, and total visits. Reports information to supervisor on monthly basis.
  • Calls new patient to remind of appointments.
  • Creates all medical records when the evaluation is scheduled.
  • Keeps log of charts that have been discharged, and takes all charts to Medical Records dept for scanning with all appropriate documentation.

Minimum Education

  • High School Degree or Equivalent
