The Association of Graduates (“AOG”) is the alumni association for the United States Air Force Academy (“Academy”). It is an independent charitable 501 (c)(3) Colorado corporation that provides alumni relations and services for approximately 50,000 graduates and provides graduate and alumni support on behalf of itself and the Academy. We strive to reconnect graduates to their institution and each other, tell the Academy story, educate grads, parents, and friends of the Academy.

Position Purpose

The AOG seeks a dynamic and creative professional to serve as the Front Desk Specialist (“Specialist”) under the direction of the Constituent Relations Manager. The Specialist will be the first impression to all visitors entering Doolittle Hall to visit the AOG, Air Force Academy Foundation, and Falcon Foundation. This individual will answer phone calls, process mail, maintain the saber rental program, assist with merchandise operations.

Summary of Responsibilities

  • Greet, welcome, and influence visitors first impression to Doolittle Hall, answer questions, and direct them to the proper locations or individuals within the building or on the Heritage Trail.
  • Answer, screen, and direct phone calls to appropriate employees.

Process and Reconcile Fedex Billing Statement on Weekly Basis

  • Support employees with posting all outgoing mail including creating address

labels for FedEx Packages; provide recommendations for best packaging and
shipping methods.

  • Ensure outgoing mail is ready for pickup by carriers.
  • Prepare checks, cash for deposit, and take those items to bank when requested.
  • Receive, sort, and distribute all incoming mail for circulation to employees.

Next of Kin:

  • Email Notification to AOG staff, AF Academy Foundation Staff, Falcon Foundation

Staff, various USAFA staff, and classmates.

  • GBNF webpage: Compile all necessary information using current forms to update the Gone but Not Forgotten AOG webpage to include any tributes from Checkpoints and other available online information.
  • In Memoriam Donations: Process any check request from Class Agency Funds for in memoriam donations for the deceased and prepare related correspondence.

Merchandise Processing:

  • Balance the cash register daily and keep detailed records of all required sales information.
  • Process all over the counter credit card transaction for merchandise sales.
  • Assist in the maintenance of the retail boutique in lobby area daily.
  • Prepare and process mail-order merchandise orders for FedEx or US Postal Service when requested.
  • Perform other duties as assigned.

Qualifications

  • A high school diploma or equivalent.
  • A background in customer service is preferred.
  • A background in online and in-store merchandising is preferred.
  • Be able to work in standing or sitting position for long periods of time (up to 8 hours).
  • Be able to reach, bend, stoop, push and/or pull, and frequently lift up to 30 pounds.
  • Working knowledge Microsoft Office 365 program suite.
  • A valid driver’s license and any related insurances.
  • Be available to work a minimum of 40 hours a week, which could include night and weekend work.
  • Be able to pass a DBIDS Background check, which is required in order to maintain access to the Foundation’s principal offices on the Academy.

Compensation and Benefits

The pay for this position starts at $17 an hour but will be commensurate with experience. The AOG offers a competitive benefits package including but not limited to medical, dental, vision, life insurance, long-term disability, retirement, sick time, and vacation time.
