Front Office Assisstant/Receptionist

Position Overview: With A Child's Heart BHC is seeking a Front Office Assisstant/Receptionist. The Front Office Assisstant/Receptionist assist with answering live calls and promptly returning voicemails. They assist the care coordinator with making sure potential clients are appropriately referred to the best fitting therapist, scheduling, and payment collection. This is a Part-time position requiring 8-10 hours of work per week Monday-Friday. This position will mimick Virtual Assistant work.

Reports to: Mikah Miller, LPC,CPCS and/or Kelley Cromer, LPC

Duties/Responsibilities:

  • Manage intake calls (respond to phone and email inquiries, schedule intake appointments with appropriate therapists, answer practice -related questions).
  • Coordinate with clinicians on filling their schedules.
  • Provide direction to clinicians and administration teams on best practices for improving scheduling processes.Collect payments and co-payments
  • Collect payment from delinquent accounts
  • Arrange payment plans for past due accounts
  • Provide metrics to Mikah Miller on intake stats.
  • Ability to identify areas where we need improvement in client intake process and initiate the improvement measures.
  • High attention to detail and ability to prioritize various projects independently.
  • Passion for working with others (being collaborative) and helping our team members grow and learn.
  • Ability to handle and provide straight-forward feedback to the administrative team members.
  • Be a problem solver and think ahead to ensure any challenges don’t greatly impact progress or outcomes for clients.
  • Ability to set goals and develop achievable timelines to hit them.
  • Other duties may be assigned.

Ideal candidates for our Front Desk Receptionist position are bright, energetic individuals who can quickly and accurately answer incoming customer calls. Prior customer service experience is essential for this position, as are strong verbal communication and listening skills. We're interested in hiring a Front Desk Receptionist who will provide excellent, professional customer service to all visitors of our location.

Responsibilities:

  • Answer telephone calls.
  • Answer and direct visitors.
  • Get information from visitors to help with meeting scheduling and facility usage arrangements.
  • Provide visitors with facilities information, schedules, and other relevant materials.
  • Keep track of facility's operations.
  • Be able to multi-task to ensure maximum customer service.

Job Type: Part-time

Pay: $15.00 - $16.00 per hour

Schedule:

  • Monday to Friday
  • No weekends

Supplemental pay types:

  • Bonus pay

Experience:

  • Customer service: 1 year (Preferred)
