Assist Manager, Fulfillment with overall production and fulfillment operations, including Centralized Project Access and address hygiene software, document formatting and text/ data merging and inventory/ postage accounts spreadsheet management.

What will you be doing?
  • Generate accurate and complete program materials (letters, envelopes, surveys, checks, and all other program components) as required by program specifications and standard operation procedures. This may include retrieving proper daily files from various sources, importing files into the appropriate client data folders, document/data merges as required and following established quality control standards.
  • Responsible for operating all Windows platform-related software (Microsoft Word, Excel, Outlook) and department hardware including laser printers, folders, Postage/Mail/Shipping Equipment, etc.
  • Process all relevant program materials for distribution. This may include overseeing Fulfillment Associates and/or participating with hands on folding, inserting and sealing all program materials either manually or with folder/inserter as required. Process all mail materials using the postage meter or following other distribution guidelines.
  • Prepare daily, weekly and monthly activity reports that are relevant to these programs. Responsible for the FedEx and UPS process, inventory, and the reporting thereof.
  • Cover or delegate the daily retrieval of business reply and white mail from local Post Office weekday mornings.
  • Act as backup liaison between Ashfield Healthcare, LLC and the US Post Office, Fort Washington.
  • Provide back up when necessary for all print jobs for the various Ashfield programs. Monitor printers for paper jams, toner changes and full output bins. Inform Manager, Fulfillment for the ordering of printer and other department supplies.
  • Follow proper safety procedures when operating equipment and machinery (including Forklift, Inserter, Mail Machine, Folder, Addresser, and Pallet Jack)
  • Complete special projects as they are assigned in timely manner or as dictated by established deadlines
  • Help with stock deliveries as required
  • Operate within the company safety related standard operating procedures (SOPs) and policies to ensure safe work practices and will:
    • Clean and maintain work area
    • Turn off and lock out equipment when not in use
    • Follow company safety and accident procedures while on the company premises or operating company vehicles or equipment
    • Follow proper safety procedures when operating equipment and machinery (including Forklift, Inserter, Mail Machine, Folder, Addresser, and Pallet Jack)
    • Make recommendations for safety improvements in the Fulfillment warehouse and throughout the Ashfield facility
  • Must safeguard patient privacy and confidentiality by following the guidelines set forth in the Privacy and Security Rules of the Health Insurance Portability and Accountability Act (HIPAA).
What do you need for this position?
  • Some college courses in addition to High School Diploma or equivalent experience
  • High attention to detail
  • Computer literacy – strong knowledge of Excel, Word, Outlook and Windows
  • Able to follow written/verbal directions and instructions
  • Ability to operate a forklift
  • Must have valid driver’s license
  • Able to lift up to 50 pounds
  • Possess positive attitude and team spirit
  • Diligent work habits
  • Flexibility to work on multiple projects simultaneously
