POSITION SUMMARY:

We are currently recruiting for a Grant Administrator – Fiscal Assistant. The Grant Administrator – Fiscal Assistant is responsible for performing Contract document preparation/collection/review for new contracts, and existing contract modifications. Ensure all appropriate documents are included, coordinates with program management and fiscal staff on the workflow from contract preparation to purchase orde and related duties as assigned. This full time position pays $26.18 per hour and is located in Providence, Rhode Island.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

· Contract document preparation/collection/review for new contracts, and existing contract modifications. Ensure all appropriate documents are included, coordinates with program management and fiscal staff on the workflow from contract preparation to purchase order.

· Follows contracts through to completion which may include checking status, resolving problems, and reviewing/expediting issues.

· Serves as contract liaison for external agencies/vendors as applicable for questions, contract changes, and obtaining signatures and approvals

· Work programs and with external agencies and vendors concerning contract budget tracking, payment issues, and invoicing

· Collect, process, and monitor invoice payments through RIFANS to ensure payments are made and processed against the correct account.

· Submit and track requisitions for purchase orders

· Submit and track Request for Proposals

· Coordinate and support HR hiring process

· Coordination and collaboration with internal and external partners

· Support additional operations and fiscal activities as assigned.Participate in developing department goals, objectives, and systems.

· Participate in staff meetings and attend other meetings and seminars as assigned.

· Recommend new approaches, polices, and procedures, to continually improve efficiency of the department and services performed.

· Efficiently performs duties as assigned and works as a team within division and company.

· Perform other related duties as assigned.

Requirements

Required Skills/Abilities:

· Excellent verbal, written, and listening communication skills within the English language.

· Proven, high quality customer service (internal and external customers).

· Ability to work collaboratively.

· Solid ability to analyze situations carefully and adopt appropriate courses of action.

· Ability to understand and adhere to the duties, methods, and procedures required by the position.

· Excellent organizational skills and attention to detail.

· Ability to prioritize tasks.

· Ability to effectively communicate to large and small group audiences.

· Proficient with Microsoft Office Suite or related software.

Education and Experience:

· Experience with State government procurement guidelines and federal grants is preferred Work experience using Microsoft Office Word and Excel

· High School Diploma, preferred.

Physical Requirements:

· Prolonged periods of sitting at a desk and working on a computer.

· Must be able to lift and move up to 25 – 50 pounds at times.

· Standard hours of work Monday through Friday, 8:00 am – 5:00 pm, however evening and weekend hours may be required

· Travel may be required up to 10% of the time
