The Role
The Health Receptionist is a customer service that provides administrative and clerical support to the Member Care Team. The health receptionist ensures members are greeted, registered, scheduled and discharged per practice protocols. On-site and scheduled remote work options. This role reports to the Practice Manager

Estimated Salary Range: $16.00 - $18.00/ hour


Who we are looking for

  • Exceptional customer service skills and at least one year in a forward-facing role.
  • A High School Diploma or a GED with at least 1 year of administrative experience
  • A minimum of 1 year of experience in the medical office or hospital setting
  • Experience using an electronic health record (EHR) for member record and appointment management.
  • Knowledge of medical terminology and procedures
  • Able to operate a computer as well as most other basic office equipment
  • Able to handle variations in workload, due to the unpredictability of the volume of calls and appointments
  • Able to be professional and courteous when interacting with members, physicians and colleagues
  • Have experience working with the public, in a heavy customer contact area


What you will do

  • On-site member services to engage and empower individuals seeking health care.
  • Be responsible for opening and closing the practice per practice protocol.
  • Assist anyone seeking health services in a courteous and professional manner.
  • Moderate the on-line scheduling, member communications, and pre-check forms .
  • Greet and check in members on-site to verify demographic and insurance information. This includes:
  • Obtain electronic signatures for required consents (HIPAA, HIXNY, etc.),
  • Confirm member insurance line of business and co-pays,
  • Verify co-pays and collect outstanding balances,
  • Validate text, email, and portal consents.
  • Provide guidance for forms completion
  • Check out members after the on-site visit is complete. This includes:
  • Review any labs or orders and provide slips where appropriate.
  • Schedule follow-up appointments.
  • Direct billing inquiries to the billing department.
  • Provide information to set-up and access documents via portal.
  • Generate any member requested documentation.
  • Perform daily office duties that include:
  • Respond to incoming member phone calls and inquiries promptly.
  • Daily reconciliation of collected payments and cash drawer
  • Clearing the incoming fax queue.
  • Routing incoming documents via postal mail or electronically to the providers.
  • Recording appointment reminders and recall responses into the EHR.
  • Taking down voice mails and routing to the appropriate recipient.
  • Clear out triages and to-dos.
  • Conduct member outreach and follow-up care requests daily.
  • Assist members for diagnostic services, office surgery and referrals.
  • Run routine operational reports.
  • Follow all security and general practice protocols:
  • Health Information confidentiality and security in accordance with Federal and State Guidelines
  • Participate in daily huddles and attend Staff and Team meetings.
  • Maintains a clean and organized work area.
  • Provide assistance to clinic staff as needed.
  • Promote a collaborative work environment and contribute to process improvement efforts.
  • Maintain accurate time sheets and follow office time-off policies.
  • Help develop and distribute quality reports to the health operations team.
  • Demonstrate and perform the required measures as it pertains to Patient Centered Medical Home, ACO REACH, and other incentive programs.
