Purpose of Job

The purpose of this classification is to provide clerical and administrative support to an assigned health services clinic within the Knox County Health Department.


Essential Functions

The Health Services Clerk, Front Office Support is responsible for the following essential functions:

  • Greet clients and ascertains their needs in relation to services provided by KCHD
  • Answer telephone and provides accurate, up-to-date information to callers and refers callers to other agencies or departments when necessary
  • Obtain specified client information from patients, such as age, insurance coverage, and symptoms, and enters information onto prescribed forms or computer database for the purpose of the patient accessing services provided by KCHD
  • Enter client information accurately in the electronic health record (EHR)
  • ‘Check-in’ ‘Check-out’ and ‘post charges’ as necessary for complete client care
  • Schedule, re-schedule, and cancel client appointments
  • Provide reminder calls for scheduled appointments
  • Assist in the client referral process to internal/external partners and providers
  • Prints receipts from computer for cash received and patient services ledger for patient use
  • Prints daily cash drawer report for clinic, showing monies receipted
  • Counts checks and cash; submits encounter audit, receipt copies, cash drawer printout, encounter forms, and cash to Accounting Department at end of each day
  • Monthly inventory and ordering of all office supplies
  • Respond to and report immediately if called upon by local, regional or central office supervisors, as part of a coordinated emergency response by the Knox County Mayor’s Office
  • Ensure regular, punctual attendance during scheduled work hours
  • Perform other duties as required

Minimum Training & Qualifications

  • High School diploma or GED required
  • Minimum of one – two (1-2) years of front office support experience
  • Bilingual (Spanish) preferred
  • Experience with EHR preferred
  • Any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities may be considered for employment into the position

Specialized Knowledge

  • Basic knowledge of Public Health 3.0 and Public Health Standards

Competencies

  • Basic understanding of computers, printers and other office equipment
  • Ability to use Microsoft Office Suite (Word, Excel, PowerPoint, Access, Outlook) with proficiency
  • Ability to focus and demonstrate great attention to detail
  • Ability to work cooperatively as a member of a team
  • Excellent customer service skills
  • Ability to adapt and perform under moderate stress when confronted with an emergency

Physical Requirements

  • This position requires the ability to engage in occasional light physical activity.

Occupational Hazards

  • Risk of exposure to infectious agents with the possibility of becoming ill
