Posting Summary
Rutgers, The State University of New Jersey is seeking a Human Resources Associate in the Institute for Health, Health Care Policy & Aging Research. Under supervision of the CFO & Director of Business, this position will be responsible for leading, managing and coordinating the effort recording process, administrative and operations relating to HR system management through onboarding, payroll and effort certification.

Among the key duties of this position are the following:
  • Manages the HR system for entering job postings, researching positions, working with HR through the process resulting in offer letters and working with Global on Visas.
  • Prepares, reviews and works with new hires using the onboarding tools (faculty & staff).
  • Acts as point person to address all HR related questions.
  • Responsible for recording effort for the IFH Centers and provides updates as needed.
  • Works with the grants team to ensure effort allocation matches with grants.
  • Shares all pertinent HR information with all Faculty/Staff.
  • Sends out reminders and tracks ECI for IFH and works with other schools to record effort on IFH projects.
  • Responsible for development of ECI tool and tracking system.
  • Streamlines existing process and recommends process improvements.
  • Records hourly payroll into the system ensuring all sheets received prior to the payroll deadline.
  • Enters timesheets monthly for all staff within IFH utilizing the Absence Reporting System.
  • Participates in meetings with the Business Department & all pertinent meetings with University Human Resources, trainings, and committees.
  • Serves as the back-up for procurement & expense reports.
  • Other duties as identified within the Business Department to support the Institute & it’s Centers.

Consistent with the current application of Rutgers Policy 60.3.22, this position may be eligible for a hybrid work arrangement. The flexible work arrangements outlined in Rutgers Policy 60.3.22 are part of a pilot program that is effective September 1, 2022 through August 31, 2023. Therefore, there is no guarantee that this flexible work arrangement will continue beyond that date. Flexible work arrangements are not permanent, are subject to change or cancellation and contingent on the employee receiving approval in the FlexWork@RU Application System. Minimum Education and Experience
  • Bachelor’s Degree in Human Resources or a related field.
  • Three (3) years of relevant experience in related fiscal activities.
  • Equivalent experience, education and/or training may be substituted for the education requirements.

Under Policy 60.1.35 Immunization Policy for Rutgers Employees and Prospective Employees, Rutgers University requires all prospective employees to provide proof that they are fully vaccinated and have received a booster (where eligible) against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption. Employees who are not eligible for a booster at the time of an offer of employment must provide proof they have received a booster upon eligibility and upload proof of same. Under Policy 100.3.1 Immunization Policy for Covered Individuals, if employment will commence during Flu Season, Rutgers University may require certain prospective employees to provide proof that they are vaccinated against Seasonal Influenza for the current Flu Season, unless the University has granted the individual a medical or religious exemption.
