About the Position
The Judicial Assistant – Floater performs specialized legal administrative assistant/ executive assistant work in support of a Criminal Family Court Commissioner or Judge and/or departmental administrative areas as assigned within the four (4) Superior Court regions.

POSITION QUALIFICATIONS

Education:
  • High school diploma or GED
Experience:
  • Three (3) years of administrative experience
OR
Combined education and experience qualifications:
  • Experience as a Bailiff/Courtroom Assistant or Judicial Clerk Senior within the Maricopa County Superior Court may substitute for the experience requirement.
  • Completion of an accredited legal secretary or paralegal training program or certification, may substitute for two (2) years of the experience.
  • An equivalent combination of post-secondary education may substitute on a year-for-year basis.
Other Requirements:
  • Must possess or obtain a valid Arizona driver’s license at the time of hire.
Our Preferred Candidate has:
  • Experience working in a court system, law office, or other legal setting.
  • Experience in Family Court Administration.
  • Knowledge of Family Court procedures, legal terminology, and the legal requirements for processing court documents.
  • Experience interacting with judges, commissioners, and attorneys.
Knowledge, skills, and abilities:
Knowledge of:
  • Court policies and procedures, legal terminology, office procedures and practices, and the legal requirements for processing court documents.
  • Principles and processes for customer service standards and procedures.
Skill in:
  • Verbally communicating with others to convey information effectively.
  • Communicating effectively in writing as appropriate for the needs of the audience.
  • The use of computer applications and software such as MS Outlook, Word, Excel, Teams, iCIS, OnBase, and GoToMeeting.
  • The following equipment: multi-line telephone system, For the Record, and copy machine.
Ability to:
  • Understand and follow quickly and accurately brief oral and written instructions.
  • Make sound decisions in accordance with regulations, policies and procedures.
  • Maintain a court calendar and work effectively with judges, commissioners, attorneys, court personnel, and the public.
ESSENTIAL JOB TASKS
(This is not an all-inclusive list of all job duties that may be required; employees will be required to perform other related duties as assigned. List in order of importance)
  • Provides all administrative support of Family Court Judge or Commissioner as a Judicial Assistant and/or Courtroom Assistant.
  • Prepares, maintains, and revises daily court calendars, including, setting hearings/trial dates and processing motions.
  • Arranges for interpreters and other court services as necessary.
  • Reviews case files for completeness; contacts interested parties for missing information.
  • Prepares information for Judge's or Commissioner's review prior to hearings.
  • Prepares courtroom, gathers all parties for hearings, directs when cases will proceed to courtroom, and manages calendar flow.
  • Assists in case flow management with daily input of hearing outcomes into the court database.
  • Answers questions in person and by telephone from self-represented litigants, attorneys and court staff.
  • Reviews mail daily and processes all in box and out box correspondence for Judge or Commissioner.
  • Works collaboratively with other Judge or Commissioner divisions to offer assistance in time of need, including providing coverage, posting minute entries, processing incoming division mail or updating division calendar activity reports.
  • Uses the following programs and equipment: MS Outlook, Word, Excel, Teams, iCIS, OnBase, GoToMeeting, eFile, multi-line telephone system, For the Record and copy machine.
Working conditions :
Must be able to travel to any Superior Court for coverage assignments as directed by Judicial Clerk Supervisor, Staff/Trainer, Family Court Administrator/designee or Family Court Presiding Judge as dictated by needs of the department. These assignments will be of varied duration (i.e. one day, one week and/or several months.)
While performing the duties of this job, the employee is regularly required to speak clearly and hear; see details of objects that are less than a few feet away; sit for long periods of time; stand, walk, use hands to finger handle or feel; reach with hands and arms; and occasionally push, pull or lift up to 20 pounds.
