Executive Assistant Position Description for Krista Coleman, Luxury Certified Realtor

Fathom Realty in Eagle, Idaho

See below the General Tasks I can see an executive assistant helping with. I am flexible as to his / her work location. This person needs to be in the Boise Idaho metropolitan area. Most often it will be remote with one-two live meetings per week as needed. I am most active doing real estate related activities from 2:30 pm - 1:00 am each day. The assistant should probably assume he/she will be working on and off from 9:00 am to 7:00 pm in bursts of activity.

1. Set up "Tour Factory" for all my listings (I need a streamlined process for primary photos, drones, 3D tours, aerial photography and sunset shots.)

2. Sends note cards to clients - nurture and/or thank yous
3. Receives calls and follow up on them throughout the day letting agent know any urgent action items
4. Helps set up, place signs, collect leads and close down open houses
5. Sends reminders and other important emails to clients
6. Is a pro with various tools/apps that make a realtors life easier (not a must, but highly desired)
7. Helps edit script and hire videographer for Krista's branding videos
8. Helps create and purchase team swag as needed
9. Owns CRM Management: cleaning / maintenance
10. Provides general client assistance for various items (e.g. pick up keys, drop off marketing materials, pick up checks for vendors)
11. Schedules Inspections for buyers and coordinate entry for inspectors and appraisers for clients
12. Sets up showing appointments for buyer previews or tours
13. Coordinates entry for subcontractors to clean, repair or stage a client's home
14. Answers phone calls for Krista in morning or when Krista can’t take the call - record questions / needs and give to Krista
15. Helps design and purchase yard signs, directionals, open houses signs and business cards for team
16. Gets list pulls from title companies for marketing needs
17. Gets CC&Rs for me as needed from title
18. Does research on Tax Assessor's site to find out home / land specs for me
19. Creates marketing pieces for mailings and emails (Just Sold, New on Market, etc.)
20. Create listing brochures / flyers with Canva using templates
21. Manages incoming photos for listings and post
22. Develops a social media strategy with a rhythm and cadence then weekly social pushes per plan
23. Helps protect my time so I have reserved time each day to make calls for business development or to close deals
24. Helps create short videos on Eagle, listings, the team, market conditions, etc. for social
25. Creates luxury and non-luxury listing packets and keeps these updated

26. Creates buyer showings / touring packets
27. Sends "Keeping Current Matters" emails to database as a touchpoint
28. Manages VIP customer care (e.g. coolers of snacks/water for summer tours and other

VIP touches)
29. Opens doors as needed for clients and vendors (or share CBS code as needed with subs)
30. Manages inspection repair lists and deadlines as we are going to close (collecting receipts) working with TC
31. Stays in touch with the Transaction Coordinator helping manage deadlines, uploading docs to Skyslope, etc.
32. Does listing searches for clients if "yes" to "has MLS access"
33. Manages bookkeeping tasks and records management as requested
34. Makes sure team members are on top of required continuing education by deadlines
35. Owns client Holiday gift planning and card mailing
36. Sends Holiday gifts/cards for additional team members....photographer, TCs, music talent, stager, contractor, designer, painters, cleaners. etc.
37. Manages closing gifts - selection, purchase and distribution with thank you card
38. Keeps DHJ website updated
39. Gets testimonials to add to DHJ website
40. Enjoys shooting short videos with agent at properties and posting them on social media
41. Makes outbound calls to set up appointments for agents (with scripts)
42. Other duties as assigned

COMMUNICATING PROGRESS

This individual will provide a weekly status report with Assigned task, Roadblocks and Date Completed. This is a weekly communication tool regularly used where an assistant provides this on a Thursday when there's still time in the week to solve any problems or roadblocks. Any variety of this format is fine, as long as it works for the agent.

DESIRABLE PERSONALITY TRAITS AND SKILLS

● Has a sense of urgency and is a true self-starter quickly completes tasks and provides a status update in one location

● Excellent time management and organizational skills such as: 1) return emails in morning & coordinates vendors, 2) work on listing packets, CRM or flyers and 3) create a social media post and then 4) do outbound calls at end of day, and finally 5) record work completed (Sample “Day in the Life of an Assistant”)

● Has the necessary skills for the job (and other hidden talents like event prep, or creative/editing skills, or social media skills)

● Has exceptional personal and phone presence and diplomacy
● Extremely customer service oriented with a can-do attitude
● Is extremely organized and timely with all tasks to keep progress moving forward
● Provides all necessary information and support for agent to do her job
● Finds satisfaction in making the team as a whole more productive and efficient
● Welcomes the opportunity to brainstorm / strategize / solve big problems
● Executes important tasks and communication with ease (or makes it look that way)

I would prefer someone who is experienced in the real estate space...ideally was an agent previously but no longer wants to be and has many skills I can quickly gain value from.

Job Types: Full-time, Part-time

Pay: $19.00 - $21.00 per hour
