The Mailroom Clerk will perform a variety of duties related to general mailroom functions, general office support functions and serve as daily switchboard relief for the receptionist.

Requirements:

Mailroom Assistance to Mailroom Clerk

  • Scan, sort and distribute incoming mail from Post Office.
  • Deliver incoming FedEx and UPS packages to employees upon receipt.
  • Pick up, sorting and distribution of interoffice mail several times a day.
  • Meter outgoing mail
  • Prepare FedEx mailings for daily pick up.
  • Perform daily checks with candy room to pull finished parcels and prepare for shipment.
  • Coordinate courier service when necessary.
  • Maintain orderliness of mailroom
  • Be an advocate for Ghirardelli when contacting UPS or FedEx
  • Take initiative in follow up when packages do not arrive by the scheduled time and work to find a solution to have them arrive as soon as possible or determine a pick up location for the recipient.
  • Be persistent and willing to go to a higher level of supervisors with UPS to get the results we need
  • Research and prepare customs paper work for international shipment
  • Work with FedEx to arrange freight shipments
  • Work with FedEx to determine fastest delivery methods and date for international shipments
  • Follow up with FedEx to fight charges when we did not receive promised services

Office Support Assistance

  • Maintain supply inventory levels and deliver office supplies to San Leandro personnel as requested.
  • Ensure that water bottles are available in sufficient supply at each water cooler location.
  • Ensure that copy paper is available in sufficient supply at each copier/fax machine location.
  • Occasional lifting and movement of supplies, equipment, and furniture (folding banquet tables, chairs, etc.), including assisting in the set-up of on-site meetings or company events.
  • Perform other duties as assigned.
  • Occasional miscellaneous filing and sorting for various departments within the Company.

Switchboard Relief for Receptionist

  • Operates telephone switchboard system to ensure that all incoming calls are being properly answered, routed, and handled.
  • Assist consumers, as needed, with product information regarding product and store locations and directs calls appropriately to other departments.
  • Greet persons entering the organization, determine the nature and purpose of visit, and direct visitor to specific destination or answer questions and provide information in a professional manner.
  • Represent company in a professional manner.
  • Provides switchboard relief on a daily basis for receptionist's breaks and lunch, as well as coverage during illness or vacation.
