Business Value:
The Maintenance Coordinator is a critical role in the Production Organization that coordinates the production requirements with Maintenance and Engineering organizations’ activities. This role ensures that equipment is available to meet production demands, in a way that optimizes total business cost (production downtime, maintenance cost, MRO inventory cost, etc.).

Definition Overview:
The Maintenance Coordinator owns the Asset Care Scheduling process. They need to understand the desires of the production schedule and the windows for maintenance and capital activities to occur. The Maintenance Coordinator needs to understand the production organization job steps (decommissioning, lockout, and recommissioning) plus the maintenance and capital work execution steps to ensure integration to minimize cost and production downtime. Once this role understands the requirements, then they coordinate/negotiate with all stakeholders to attain the best Business solution.

Major Objectives of the Role:

  • Understand the Production strategy (goals), how it pertains to operating the production process, and how equipment effectiveness and availability impacts the Production strategy
    • Clear understanding of production goals and equipment performance requirements to meet cost of manufacture (yield, quality, uptime, energy, working capital, and other goals)
    • Clear understanding of equipment downtime goals and asset care activities required to align the scheduling of those activities with NO Demand windows in a way that minimizes impact to customers and optimizes inventory requirements
    • Clear understanding of production/mechanical activities and how they impact financial goals (example- Planned Major Maintenance Accounting (PMMA), Idle Mills, Inventory Cost, etc.)
    • Production representative in the capital forecasting process to ensure equipment reliability goals (bad actor improvement/end of life management) are championed in the Asset Effectiveness (AE) Process
  • Lead integration of the Work Management Process (WMP) into the production, maintenance, and engineering cultures

Work Identification:

  • Ensure appropriate involvement of non-maintenance resources
  • Ensure appropriate prioritization that aligns with all organizations’ needs
  • Ensure proper information in notifications and work orders to provide reliability data (example: notifications written to equipment piece)

Planning:

  • Align on scope of work with Maintenance Supervisor and Planner
  • Collects options, facilitates comprised solution discussion, and authorizes reactive MRO solutions such as material expediting or rescheduling maintenance activities (4b objective)
  • Financially authorize and release work order

Preparation:

  • Collects options, facilitates compromise solution discussion, and authorizes reactive MRO solutions such as material expediting or rescheduling maintenance activities (4b objective)
  • For operations that are not Ready to Schedule (RTS), verify priority & revision if desired date cannot be achieved

Scheduling:

  • Validate current production windows for maintenance and engineering activities
    • Ensure proactive regulatory inspection, test, and restoration requirements to operate the asset(s) are completed on time.
    • Ensure proactive production inspection, test, and restoration (yield, uptime & quality) requirements to operate the asset(s) at the required production capability/cost are completed on time.
    • Adjust maintenance schedule to align with production scheduling for reactive restoration work orders to minimize downtime
    • Ensure scheduling of Capital projects and Change of Design (CODs) work in a way that integrates with maintenance work activities and production needs

Coordination:

  • Communicate maintenance and engineering activities to production organization to ensure proper preparedness (rate reduction, decontamination, lockout, etc.)

Accomplishment:

  • Verify equipment readiness before deployment of maintenance resources on day of scheduled work execution
  • Validate acceptable completion of maintenance/engineering activities. Collects options, facilitates compromised solution discussion when activities fail to restore the asset appropriately
  • Facilitate timely lockout removal and rate restoration

Documentation:

  • Review work order and ensure authorization of additional costs as needed to TECO work order
  • Create follow-up Notification for new scopes of work (if required)
  • Support the integration of the Reliability Management Process (RMP) into the production culture
    • Improve SAP equipment structure by utilizing defects found during the Work Identification step to create a new/change equipment or functional location request form for use with the Reliability Improvement Team
    • Active team member on the area Reliability Improvement Team to ensure alignment on bad actors and impact to the production goals
  • Production representative in the MRO Inventory managing process(es) that is led by the MRO Planner
    • Gains authorization for proactive MRO solutions change in inventory levels (loss production vs. inventory holding costs analysis)
    • Collects options, facilitates compromise solution discussion, and authorizes reactive MRO solutions such as material expediting or rescheduling maintenance activities (happens in Planning and Preparation,)

Site specific:
  • Knowledge of and experience with Site safety policies, procedures, and training
  • Knowledge of and experience with the Client Maintenance Work Management Process (WMP) to ensure efficient utilization of resources

  • Detailed knowledge of and experience with production process, how the equipment connects, and how equipment performance impacts the production process
  • Detailed knowledge of required decontamination steps and lock out boundaries to conduct effective asset care activities
  • Good interpersonal and Conflict Resolution Skills with the ability to influence managers, peers, and teams
  • Knowledge of and experience with maintenance and operating procedure requirements
  • Understand all 14 spokes of the Process Safety Management (PSM) wheel and understand their role for each of the spokes
  • Knowledge of and experience with RCFA methodology or ability to facilitate those activities
  • Knowledge of and experience with failure modes for the production/utility equipment and the impact on production capability (priority)
  • Understand hazards, failure modes, and the complexity of various maintenance restoration techniques to effectively integrate into the scheduling process (work order operation structure)
  • Ability to review and provide upgrades to written maintenance repair procedures and associated task lists to facilitate scheduling
  • Basic understanding of financial accounting concepts such as Life Cycle Cost and TAR PMMA accounting as well as work order cost flow management
