Major Responsibilities:

The Manager, Membership Data, Accounts Receivable & Client Financial Services is responsible for the development and administration of effective membership accounting systems, practices, controls, and procedures and for providing related training to both staff and local union stakeholders. The Manager will work with the CFO and Controller to provide general accounting support.

Specific Responsibilities:

  • Maintain complete and thorough knowledge of state and national membership and dues policies and bylaws. Participate in the development and maintenance of related policies.
  • Manage all membership data processing, supervising the maintenance of accurate enrollment records.
  • Offer innovative recommendations for improvement of day-to-day membership accounting and enrollment procedures.
  • Works closely with locals, members, and staff to resolve financial and membership inquiries.
  • Supervise the maintenance of the accounts receivable subsidiary ledger, cash receipt application, monthly billing and dues collections.
  • Review billing schedules annually.
  • Manage the month and year end closing processes, producing membership and financial reports, evaluating the monthly reconciliation of local accounts, and making recommendations on the collection of past due accounts.
  • Assist locals with complex banking, membership, and financial issues, including membership and dues audits and select IRS and accounting issues.
  • Design and deliver membership data and financial training for union financial officers using all available training methods, including classroom, web-based and one-on-one.
  • Promote exceptional customer service within the Membership team in all organizational interactions.
  • Create and generate reports and analyze membership data.
  • Maintain all database utility tables related to the membership and accounts receivable records.
  • Oversee the Local Office Support reimbursement program.
  • Work with MTA Division of Legal Services to administer legal related dues billing.
  • Generate all membership and dues related materials and reports required by Governance for the Annual Meeting of Delegates. Administers Annual Meeting Delegate Registration system, including managing assigned staff and registration processes on-site at the meeting.
  • Produce and disseminate financial membership information and materials.
  • Monitor internal control procedures to ensure compliance and make recommendations for updates, as appropriate.
  • Work closely with staff in other divisions to ensure accuracy of membership information.
  • As assigned by the CFO and Controller, oversee general accounting matters.
  • Assist with the annual financial and retirement plan audit efforts by documenting updates on internal control environments and providing requested documentation.
  • Serves as staff consultant to committees and groups, as needed.
  • Adheres to all MTA policies and personnel procedures, including but not limited to hiring, supervision, performance evaluation and employment-related actions in a unionized environment.
  • Carries out responsibilities with a positive cooperative spirit and motivates staff to achieve division goals.
  • Encourages regular staff development and training.

Qualifications:

  • Bachelor’s degree in accounting.
  • Supervisory accounting experience, including preparation and analysis of data.
  • Proven interpersonal skills, both verbal and written.
  • Ability to manage assignments independently and on a deadline.
  • Analytical thinker capable of converting concepts into spreadsheet models.
  • Exceptional computer skills, including extensive use of common spreadsheet applications, word processing software, report writing and database management systems / capable of navigating new software with limited supervision.
  • Experience in reconciliation of accounts receivable subsidiary ledger to the general ledger.
  • Excellent customer service skills.
  • Experience working in and/or managing employees in a union environment preferred.
  • Minimal travel required with some overtime required.
  • Willingness to work in a fast-paced financial/customer service environment.
