POSITION SUMMARY:

Under the direction of the Administrator, the Director of Marketing/Admissions markets facility services in the immediate and surrounding referral communities for the purpose of census development and public relations. They are responsible for coordinating all admissions and transfers to the facility and works closely with the nursing staff and social services relating to psych/service needs of prospective residents. The person holding this position is delegated the responsibility for carrying out the assigned duties and responsibilities in accordance with current existing federal and state regulations and established company policies and procedures.

ESSENTIAL JOB FUNCTIONS:

Role Responsibilities – Job Knowledge/Duties:

Prepares strategic marketing plan in accordance with census expectations with assistance from the Administrator

Makes necessary arrangements to carry out marketing plan (coordinates program with other involved departments and community sources)

Keeps files on all primary and secondary referral sources

Conducts community-speaking engagements and arranges community speakers for facility

Maintains logs and/or reports of all inquiries, tours, admissions, discharges, marketing plans and contacts. Submits required logs and/or reports to the Administrator and the corporate Director of Marketing or designee

Demonstrates knowledge, skills, and techniques necessary in carrying out the admissions process for residents with the following needs: therapeutic, neuro & dementia, dialysis, IV therapy, and infectious diseases if applicable

Demonstrates knowledge of age specific developmental factors specific to adult and geriatric residents (physical, cognitive, and socialization) in the admissions process

Attends all mandatory in-services by the employee’s anniversary date

Demonstrates ability to adjust to changes in unit/shift assignments to meet resident and family needs

Demonstrates knowledge of and complies with the Code of Conduct and Corporate Compliance Program when performing work functions

Others duties as assigned by the Administrator

Role Responsibilities – Administrative Duties & Resident Care:

Demonstrates responsibility for verbal or written inquiries for information regarding resident application. Ensures appropriate personnel sends information regarding facility services to inquiries

Opens and reviews mail on a daily basis. Processes inquiries in registry book for placement on waiting list. Files applications and referrals according to source of referral

Thoroughly reviews and processes application at time of consideration for placement;

  • Conducts telephone interviews when pre-admission interview is not possible
  • Conducts a pre-admission interview with the prospective resident and responsible party, at the facility, or if necessary, as a home visit, with a member of the Social Service Department
  • Records a summary of the pre-admission interview, including observation of the Social Services Department

Presents processed application to the Admissions Committee for approval and records minutes of the meeting

Completes the following when admission application is approved:

  • Notifies hospital or nursing facility social worker or discharge planner of bed availability
  • Notifies family or responsible party of bed availability, and begins compiling social history
  • Schedules date and time of arrival
  • Obtains pertinent resident information for admission bulletin
  • Informs appropriate Social Worker at facility of admission information

Processes admission bulletin for all appropriate departments prior to resident placement. Distributes appropriate information to nursing station, Business Office and Social Services department

Obtains signature of the resident and/or responsible party on the Admissions Basic Services Agreement and the Responsibility for Charges Sheet. Submits signed forms to appropriate departments for processing

Processes Dietary History with responsible party, as needed, and returns to the Dietary Department for processing

Demonstrates responsibility for transfers, including:

  • Coordinates transfers involving room changes or inter-facility transfers upon request and following approval of resident’s physician
  • Obtains administrative approval for transfer
  • Arranges and schedules transfer in conjunction with appropriate departments, informing Social Worker involved with arrangements
  • Processes and distributes inter-facility and room change bulletins for appropriate departments

Demonstrates responsibility for all correspondences of the Marketing/Admissions Department

Ensures minutes of the Marketing/Admissions Committee meeting is processed on a timely basis

Assists in annual budget preparation for the Marketing/Admissions Department, as appropriate

Makes regular marketing contacts with referral sources in person, in writing and via telephone

EDUCATION/EXPERIENCE:

A high school graduate; Bachelor’s Degree from an accredited institution preferred

One to two years of experience in a related field preferred

Possesses a valid State Driver’s License and has transportation available for job related travel

Demonstrates growth in the profession through community involvement and continuing education

Explores and utilizes available community resources applicable to residential health care facility programs

Possesses ability to perform the essential functions of the job, with or without reasonable accommodations

Communicates effectively in English, both verbally and in writing, and possesses sufficient communication skills to perform the tasks required
