SUMMARY

This position is responsible for developing, executing, and managing events that strategically support the organization's objectives. The primary responsibility will be to manage all aspects of meetings, events and incentive trips including planning, implementation, financial reconciliation, and post event follow-up. Must maintain accurate and complete financial records for each event; and review and analyze the outcome of each event to determine effectiveness. Work closely with all levels of management and vendor partners for meeting and event development and execution.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Event Planning: Manage all aspects of a meeting or event including: determining meeting goals and objectives; determine resources and budget required; event design; request for proposal (RFP) development and management; site selection; contract negotiation; room block determination; agenda development (incentives); speaker and entertainment selection and contracting; determine travel specifications and work with travel provider to provide air and ground transportation; Destination Management Company selection and contracting; food and beverage design; manage AV/production design and equipment requirements; meeting space design; manage meeting onsite; trade show design and management.
  • Build out and manage registration websites in Cvent Flex. Develop, manage, document, and report trends on attendee registration.
  • Build out mobile apps via Cvent Attendee Hub App.
  • Assist with overall management of Cvent platform.
  • Work with the meeting host(s) to create supporting documents and ensure the appropriate elements are in place to bring optimum value to the attendees. Ability to simultaneously work with multiple business lines.
  • Use project management methodology to lead organizing committees to plan events, align logistics with objectives, establish budgets, and report on progress.
  • Work closely with marketing manager on the overall marketing plan strategy, timelines, and event experience.
  • Manage contracts to minimize penalties and obligations - track cost savings and cost avoidances.
  • Organize registration for participants including management of special requests, dietary and medical conditions.
  • Manage vendors to ensure accuracy and timeliness of deliverables.
  • Oversee complete onsite meeting management – ensure quality delivery including venue, ground suppliers, and external staff support.
  • Review and reconcile final billing and prepare post conference trend/best practice reports.
  • Capture project-based hours.

SCOPE – IN TERMS OF FINANCIAL INDICATORS

Position supports the principles of Strategic Meetings Management in terms of capturing, analyzing, and reporting meeting and event spend to senior management. The position manages meeting budgets and documents actual expenses and cost avoidance capture.

KNOWLEDGE/SKILLS OR ABILITY

  • Comprehensive management of mid- to large-scale meeting experience
  • Comprehensive management of small to midsize incentive experience
  • Management, reconciliation, and reporting of budgets ranging up to $1M
  • Strong customer service orientation
  • Strong leadership ability managing internal cross-departmental teams and external vendor partners
  • Proficiency with Microsoft software
  • Ability to manage multiple tasks and prioritize among assignments
  • Strong communication skills and the ability to interact effectively with different personality traits of meeting hosts and executive management
  • Strong organizational skills and attention to detail
  • Project Management experience
  • Capability to work effectively in deadline situations
  • Ability to be creative in solving problems – predictable and unpredictable
  • Ability to work effectively under pressure
  • Superior contract negotiating skills
  • Ability to work independently and as an effective team player
  • Knowledge of Cvent Flex attendee management
  • Knowledge of creating & managing mobile apps (knowledge in Cvent Attendee Hub App ideal)

EDUCATION AND/OR EXPERIENCE

  • College Degree (Associates or Bachelors)
  • 10+ years meeting management experience required including incentive meetings
  • CMP or ability to obtain within 1 year

TRAVEL: Ability to travel up to 40%

Various jurisdictions have passed pay transparency laws that require companies provide salary ranges for any positions for which they are accepting applications. Global Atlantic has offices in Atlanta, Batesville, Bermuda, Berwyn, Boston, Des Moines, Hartford, Indianapolis, and New York City. The base salary range posted below is inclusive of the lowest cost of living geography to the highest in which we have a Global Atlantic office.

Global Atlantic's base salary range is determined through an analysis of similar positions in the external labor market. Base pay is just one component of Global Atlantic's total compensation package for employees and at times we hire outside the boundaries of the salary range. Other rewards may include annual cash bonuses, long-term incentives (equity), generous benefits (including immediate vesting on employee contributions to a 401(k)), as well as a company match on your contributions), and sales incentives. Actual compensation for all roles will be based upon geographic location, work experience, education, licensure requirements and/or skill level and will be finalized at the time of offer. Compensation for our more senior positions have a larger component of short-term cash bonus and long-term incentives. The base salary range for this role is $79,100 to $150,948.
