SUCCESSFUL CANDIDATES’ EXPERIENCE should include:

  • Minimum 2+ years prior Office Assistant experience, preferably with prior excellent customer service experience.
  • Prior apartment office experience helpful.
  • Strong written and verbal communication, time management, and organizational skills needed.
  • Ability to work in a busy, fast-paced office.
  • Proficient accurate data entry inputting needed with excellent proofreading skills.
  • Proficient in MSOffice skills (Word, Excel, Outlook).
  • Yardi Voyager, apartment housing software skills helpful or willing to learn.
  • Math aptitude – good with numbers and strives for accuracy.
  • Bilingual Spanish-speaking helpful to interact with multi-cultural residents, vendors.

Conifer Realty is seeking a self-motivated full-time Office Assistant to begin their next career with us to support our multi-family apartment communities at Portside Commons apartments (72 units) AND Westport Homes (108 units) in Elizabeth NJ. This is a great opportunity for someone who has strong administrative and organizational skills and can provide excellent customer service to our residents, new resident applicants, vendors, and any other visitors. Will also work with residents on work order repair requests and coordinate with maintenance team. Bilingual Spanish-speaking desired. Ability to work in a fast-paced office and handle multiple tasks will be important.

  • Able to work independently as well as support a team when needed.
  • Must like to be busy and work with the public in a fast-paced office.
  • Must be self-motivated, willing to meet deadlines.
  • Friendly, positive attitude to assist residents, contractors, coworkers, visitors.
  • Flexible, adaptable to changing work tasks as needed.
  • Reliable, dependable / excellent attendance needed.

JOB RESPONSIBILITIES WILL INCLUDE but not be limited to:

  • Providing organizational overflow support for fast-paced management office and provide excellent customer service to all Residents, new applicants, visitors, vendors, contractors, co-workers, and customers.
  • Answering phones, greet incoming visitors, process incoming/outgoing mail, preparing office correspondence and completion of forms, maintaining files, and ordering/maintaining inventory of office supplies.
  • Maintaining an organized office calendar and schedule meetings and appointments when needed.
  • Receiving and processing repair work orders from residents in accordance with Conifer’s standards of operation and submitting them to maintenance on a timely basis.
  • Helping develop promotional activities that will assist in Marketing of community during leasing along with other resident activities.
  • Composing, preparing, and proofreading correspondence, office memos, reports, always maintaining required confidentiality.
  • Accurate, timely data entry into software programs for reporting with excellent proofreading.
