The Annenberg Foundation Trust at Sunnylands is seeking an Office Manager who will be responsible for the full array of administrative support for the beautiful Sunnylands office and campus in Rancho Mirage, Calif. Reporting to the Chief Administrative Office, the position supports Finance, Human Resources, Information Technology and, in conjunction with the Operations Division, procurement. The position will also provide support to the President, Secretary to the Board of Trustees, and other members of the Senior Leadership Team.

Situated on 200 acres of serene desert landscape with breathtaking vistas of the San Jacinto Mountains, the Sunnylands estate and the adjoining Center & Gardens are both a tourist and community destination and a place of ongoing historic significance. Once the winter home of Ambassadors Walter and Lenore Annenberg, Sunnylands offers visitors recreation, tours, and educational activities.It also hosts retreats for national and global leaders on topics such as world health, education, and global cooperation. The Office Manager will work side-by-side with former ambassadors and civic leaders who comprise the senior leadership team at Sunnylands.


Some of the duties of this position include:

  • Oversee and ensure that the office administrative functions are effectively carried out.
  • Directly contribute to the efficient daily operations of the department and establish effective administrative procedures to the department and organization.
  • Coordinate inter-departmental communication as well as other correspondence to external clients and customers.
  • Collaborate with appropriate staff to identify areas of improvement regarding department administrative services and delivery of those services.
  • Provide oversight and supervision for office procedures and standard workflow processes.
  • Support the Risk Manager and Human Resources staff in revising and managing the Injury and Illness Prevention Plan (IIPP) and Disaster Preparedness Plan.
  • Assist the Chief Administrative Officer in monitoring and tracking the organization-wide Objectives and Key Results (OKR) process and follow-up with departments as directed.
  • Coordinate administrative support for the President with Washington, DC staff and also support the DC-based Retreats Strategy Group as needed.
  • Support the Chief Administrative Officer and Board Secretary in Board of Trustees communication and meeting preparation as well as the various committees that support the Trust.
  • Request, collect, and organize confidentiality agreements and background check documents for vendors and other entities requiring such clearance.
  • Assist with planning and logistics associated with management meetings, training and development workshops, and employee events.
  • Prepare correspondence, reports, forms, and specialized documents related to operations.
  • Assist with projects and perform independent research as assigned.

Sunnylands offers a competitive salary and benefit plan and operates on a hybrid work schedule, three days a week in the office and two days remotely. On occasion, the position will be required to work nights and weekends when retreats or other activities are being held at the estate and on the grounds.

Requirements:
  • Handle highly confidential and non-routine information.
  • Able to work a flexible schedule that may include various nights and weekends.
  • Must have valid, unencumbered California driver’s license.
  • Exceptional phone and in-person communication skills (including etiquette and grammar).
  • Must have knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software (MSWord, Excel, Access, PowerPoint), as well as Internet research abilities.
  • Exceptional written communication skills
  • Superior attention to detail and accuracy.
  • Establish and maintain effective working relationships.
  • Ability to effectively communicate and interact with all levels of the organization including the President, Senior Leadership Team and, on occasion, the Board of Trustees.
  • Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.

QUALIFICATIONS:


  • A minimum of five years of administrative experience supporting C suite executives and/or overseeing a mid-size to large administrative office.
  • High School Diploma, GED required and Bachelor Degree preferred.
  • Intermediate level of skill with Microsoft Word, Excel and PowerPoint, and databases.
