This is a full-time opportunity based in our Baltimore office.

Office Manager Duties:

  • Facilitate New hire Orientation and On-boarding
  • Assist with conferences and community events, to include setup, coordinating with catering, breakdown, and cleanup
  • Make travel arrangements for Staff
  • Order office/kitchen supplies and PPE, and maintain supply inventory logs
  • Scanning and uploading of documents into electronic filing system
  • Receive mail, distribute and file appropriately
  • Manage company subscriptions and memberships
  • Maintain vendor relationships, including scheduling and payments
  • Invoice management, to include, verifying accuracy and making payments, writing checks, and maintaining records
  • Maintaining equipment purchases and logs
  • Assist with budget management, prepare expense reports bank deposits, and credit card purchases
  • Work with IT to configure phone and laptop setup, as well as. Manage tickets

Executive Assistant Duties (for CEO, General Counsel and COO):

  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO, General Counsel and COO
  • Schedule personal appointments as required
  • Make personal travel arrangements for Executive and guests
  • Manage household accounts, to include composing correspondence, getting quotes and making payments
  • Provide clerical support to Executive Team including managing MVA licensing
  • Submission of tax documents
  • Scanning and maintaining electronic filing system of personal documents
  • Other tasks as assigned

Skills and Qualifications

  • Bachelor's degree preferred along with a minimum of 5 years of relevant experience.
  • Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
  • Flexible hours as dictated by the needs of the CEO and COO for projects and meetings.
  • Strong ability to execute work with cultural sensitivity.
  • Able to maintain a high level of integrity and discretion in handling confidential information.
  • Able to interact with people of all levels in a confident, professional manner.
  • Dedicated to meeting the expectations of the CEO and COO maintaining an effective working relationship.
  • Exceptional communication, interpersonal, and decision-making skills.
  • Ability to complete a high volume of tasks and projects with little or no guidance.
  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround. High degree of professionalism in dealing with diverse groups of people, including government officials, client senior executives, staff, community leaders, business owners and the community at large.
  • Make appropriate, informed decisions regarding priorities and available time.
