What you need to qualify
  • Two years of general clerical experience, one year of which included typing, word processing, or other experience generating documents; OR
    An Associate's degree; OR
Graduation from a private school of business with a certificate AND one year of general clerical experience.
Agencies may supplement the minimum qualifications to require specific knowledge and skills as specified in the Classification Specification.

  • Ability to remain consistently organized, utilize time management skills to meet deadlines and prioritize assignments.
  • Excellent verbal and written communication skills with attention to detail and tactfulness
  • Experience explaining rules, regulations, and procedures for a program/service.
  • Experience using Microsoft Suite, Outlook, Experience with computers including processing, entering, and verifying detailed data.
  • Experience communicating with and resolving conflicts/disputes with clients or customers.
  • Experience working with individuals of a diverse population.

As an Office Specialist, you will:
  • Share general office duties including front office coverage, answering a multiline phone, taking, and delivering messages, tracking caseworkers’ whereabouts, responding to inquiries and needs of clients and the public, incoming and outgoing mail duties.
  • Assist with management of state vehicles, check in/out, reserve, maintain logs and assist with services and/or repair.
  • Treat clients, partners, and co-workers with respect and dignity, especially when dealing with clients of a hostile or apprehensive nature.
  • Attain a thorough knowledge and strict observance of confidentiality policies regarding the client information.
  • Ability to multi-task and perform accurate detailed work despite frequent interruptions
  • Ensure Ricoh copy/fax machines are full of paper for printing daily, order toner, call/email for maintenance and repair of the machines.
  • Work with highly confidential documents: enter data, edit, and distribute correspondence, file court reports and other case documents as needed.
  • Visa SPOTS card holder- purchase, maintain and balance monthly spreadsheet; purchasing for client’s needs, office supplies, and as requested by a manager or a caseworker
Working conditions
  • This role will be positioned in the office and working hours will be Monday – Friday from 8:00 a.m. – 5:00 p.m.
  • You may interact with a wide range of people including some who have experienced trauma and may exhibit challenges in controlling their anger or other unexpected emotions impacted by drug use, cognitive impairments, or other factors.
  • Walking into stressful situations that may require quick decision-making skills to ensure safety of those being serviced and own physical safety. This may also be trauma inducing.
