Job Summary

Provides administrative support to the Offices of Student Services by coordinating and processing all purchases, room reservations, and facilities orders, under the direction of the department leadership. Provides high level customer service to internal and external contacts and ensures inquiries are addressed and resolved.

  • Provides administrative support to the Offices of Student Services. Responsibilities include, but are not limited to, assisting in day-to-day operations, providing customer service by answering questions, addressing concerns, maintaining the College of Law calendar, coordinating student room reservations, submitting work orders, data entry, scheduling appointments and meetings, and answering phone calls.
  • Schedules all tests and quizzes for College of Law students with accommodations. Informs all students with accommodations of their testing schedules. Schedules all proctors for tests and quizzes for College of Law students with accommodations. Maintains database of College of Law students with accommodations. Proctors exams for students with testing accommodations when needed.
  • Schedules vendors, processes payments, and assists with processing routine inquiries for all Office of Student Services events, including but not limited to, commencement, orientation, and barrister's ball. Assists at events as needed.
  • Orders and process payment for durable goods, food, facilities services, and other needs for student organization programming, as approved by the supervisor.
  • Serves as the University's credit card user for departmental transactions. Adheres to University's credit card policies and procedures. Processes credit card payments, requisitions, and other payment methods approved by the university's purchasing department. Processes contracts using the TCM Module while adhering to university policies and guidelines.
  • Works with students to schedule bar support meetings with the Director of Student and Academic Services and other bar coaches.
  • Coordinates and prepares travel and expense reimbursements for the department to include faculty, administrators, staff, students, and guests, as needed. Acts as back-up purchasing agent and processor for travel and expense reimbursement transactions for unit.
  • Responds to inquiries and resolves non-routine complex issues. Ensures questions are answered and issues resolved in a timely a manner. Handles confidential issues using discretion.

Minimum Qualifications

  • High school diploma or GED and five (5) years office or related experience providing administrative support, or coordinating functions of an office or department.
