POSITION SUMMARY

To provide superior quality, competitive value, and outstanding service by ensuring successful operations across all sites of Brevard Health Alliance. Primarily, the Operations Specialist will be responsible for the assistance and support for BHA’s overall patient experience as it relates to operations.

GENERAL EDUCATION REQUIREMENTS
  • Bachelor’s Degree in Community Health, Business, Healthcare Administration, or Public Health from an accredited educational institution preferred. Associates degree in Business, Healthcare Administration or Public Health from an accredited educational institution and relevant experience required.

ADDITIONAL QUALIFICATIONS
  • Must be able to work independently and be self-motivated, self-directed, and demonstrates initiative.
  • Proficient in Microsoft Office applications.
  • Proficient in utilization of electronic medical records.
  • Must be detailed oriented with excellent communication experience.
  • Excellent written and verbal communication skills.
  • 3-5 years of relevant experience.
  • Ability to exercise good judgment.
  • Ability to think critically, analyze and resolve problems in an efficient and resourceful manner.
  • Strong interpersonal and relationship skills.
  • Always maintains confidentiality and follows Brevard Health Alliance’s confidentiality guidelines.

PRIMARY ACCOUNTABILITIES

Primary Accountabilities of the Operations Specialist include, but are not limited to the following:

  • Works in partnership with the Site Managers, Chief Medical Officer, Director of Business Operations, and Director of Clinical Operations to enhance operational efficiencies and overall performance, focusing on the overall patient experience, quality of care, fiscal responsibility, and overall productivity & effectiveness of the organization.
  • Collaborate with Director of Business Operations on various initiatives, assisting with tasks, projects, audits, etc. as needed.
  • Works with the Risk & Compliance team to ensure audit process is conducted appropriately, and works to communicate results to the clinics, and set up training for common areas found with the Education department.
  • Conduct, research, and prepare data to present (via eCW, Solarity, etc.) to the Director of Business Operations to assist with decision making and aligning strategic and training efforts accordingly.
  • Assists in reviewing, updating, and creating policies and procedures.
  • Assists with ordering, drawing up purchase request forms, etc. as needed.
  • Performs on-site audits at each clinic to ensure compliance and consistency of processes across locations.
  • Works on Quality Improvement and organizational projects as directed by the Director of Business Operations.
  • Ensure the provision and appropriate follow up of quality and efficient patient services and a positive patient experience.
  • Analyze the efficiency of processes as necessary, and makes recommendations where seen fit. Works to develop/revise procedures for improving these processes in conjunction with the education department and Site Managers.
  • Identifies opportunities for process improvement and strategizes improvements for their team, and across the organization.
  • Coordinate with business and clinical operations to ensure a seamless, efficient, and patient-friendly workflows.
  • Develop, maintain, and report Key Performance Indicators their programs of responsibility.
  • Effectively utilize resources to plan, organize, and coordinate efforts for operational efficiencies.
  • Works closely with Clinic managers and nurses to best utilize and share staff in times of need.
  • Able to perform and carry out tasks, projects, etc. as delegated by the Director of Business Operations.
  • Coordinate with Quality Improvement team and external consulting teams to improve the efficiency of EMR operations and workflows via templates, training, optimized processes, and reporting capabilities, and assists with implementing new EMR initiatives.
  • Generate various reports for operations, quality, risk, etc.
  • Assists with various administrative tasks and duties as required.
  • Takes ownership and represents Brevard Health Alliance’s mission and organizational goals established by the executive committee. These include, but are not limited to: Productivity, Quality, Patient Satisfaction, and Employee Retention. It is the duty of each BHA employee to incorporate these goals into all daily work routines and strive to achieve and surpass all goals by working as a team. The mission and goals of BHA will be incorporated into each associate’s performance plan to be evaluated annually.


PHYSICAL DEMANDS

  • Visual acuity, hand-eye coordination, hearing ability and dexterity to perform clinical tasks and operate equipment.
  • Standing, walking, bending, stooping, and lifting as job requires for possibly extensive periods of time.
  • Handling, lifting and moving of objects, equipment and supplies of up to 25 pounds as needed.
  • Visual color acuity to perform point-of-care tests requiring color changes.
  • Variable working hours and locations.
  • Must be able to travel to all clinic locations as needed.
