Position title: Patient Access Representative

FLSA: Non-exempt

Location: Santa Rosa, Calif.

Schedule: Monday–Friday, 8:00 a.m.–5:00 p.m.

Summary

Responsible for handling high volume calls, scheduling appointments and answering patient questions in an efficient and timely manner.

Duties and responsibilities (includes, but is not limited to the following):

  • Answer phones and return calls in a prompt, pleasant, and helpful manner.
  • Schedule/reschedule patient appointments for consultation, evaluation and treatment.
  • Process referrals promptly and accurately.
  • Obtain insurance authorizations and confirmations.
  • Collect existing and new patient insurance information and complete insurance verifications.
  • Verify necessary information and record in patient's medical record.
  • Enter data into various electronic systems, as well as, maintain the integrity and accuracy of the date.
  • Maintain and update current information on physicians’ schedules.
  • Relay necessary messages to staff.
  • Schedule surgeries as requested.
  • Maintain patient confidentiality
  • Attend meetings as required.
  • Regular and reliable attendance is required to perform the functions of this position.
  • Perform other duties as assigned.

Education, licensure and/or certifications

  • High school diploma or GED.
  • California or National Certified Medical Administrative Assistant; preferred.

Experience

  • One year office experience preferred; preferably in a medical office setting.
  • Knowledge of medical terminology preferred.
  • Experience using Electronic Health Record preferred.
  • Microsoft Word and computer experience.

Knowledge, skills and abilities

  • Skill in answering the telephone in a professional, pleasant, and helpful manner.
  • Ability to establish and maintain effective working relationships with patients, employees and the public.
  • Ability to multi-task, handle high volume phone calls, and work in a fast-paced environment.
  • Ability to speak clearly and concisely.
  • Skill in operating a computer and other office equipment (i.e., scanner, fax, etc.)
  • Knowledge of business office procedures.
  • Knowledge of grammar, spelling and punctuation to type patient information.
  • Ability to read, understand and follow oral and written instructions.
  • Ability to sort and file materials correctly by alphabetic or numeric systems.

Physical demands

  • Requires prolonged sitting, some bending, stooping and stretching.
  • Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator and other office equipment.
  • Requires normal range of hearing and eyesight to record, prepare and communicate appropriate reports.
  • Requires lifting papers or boxes up to 50 pounds occasionally.
  • Requires dexterity to type 60 wpm.

Pay: $19.00 - $26.00 per hour
