This full-time position is with a congenial, well managed 6-person accounting team in a growing office in South Everett-Lynnwood near Boeing Everett Plant; convenient to I-5, 525 and 526 freeways. A quick commute for King County residents!

This position is responsible for preparing and processing bi-weekly payroll in ADP Workforce Now (WFN) for approximately 150-200 employees, preparing or monitoring documentation associated with payroll, including garnishments, taxes, health savings accounts and retirement plan contributions. Will maintain accurate payroll records according to company policy and procedures and regularly update detailed payroll processes desk manual. Payroll Specialist works closely with Human Resources and senior management, all housed in this office.

Primary Duties:

  • Manage the ADP Workforce Now Payroll system as well as the Time & Attendance process cycle, including setting up annual payroll and holiday schedule, and year end close duties.
  • Review electronic timecards for proper time entry, approvals, pay codes, leave entry and payroll transactions.
  • Ensure salary deferrals, garnishments and payroll deductions are paid as due.
  • Assist in reviewing and processing all payroll-related personnel changes.
  • Calculate and disburse tax deposit payments and government reports.
  • Process 403(b) salary deferrals, garnishments, and payroll deductions.
  • Enter retirement plan enrollment, contributions and distributions; prepare reports for annual employee match, 403(b) plan audit and 5500.
  • Perform quarter-end and year-end audits and reports, including file reconciliation, adjustments, and W-2 distribution.
  • Cross-train with other accounting positions to provide back-up as needed.
  • Participate in development of written procedures, forms, and other activities.

ESSENTIAL SKILLS AND FUNCTIONS:

  • Training in basic accounting coursework and double entry accounting as well as familiarity with accounting software, ideally Sage MIP payroll module and ADP payroll processing.
  • Knowledgeable and adept in use of Excel spreadsheets, including creating formulas, templates, sorting, LOOKUP function and pivot tables. .
  • Strong grasp of GAAP accounting, accounting controls, and a respect for adherence to ethical and legal standards
  • Able to handle complex payroll with employees working a variety of schedules, including weekend, nights, graveyard weekends and holidays—all with differential pay arrangements.
  • Familiar with U.S. Department of Labor employment regulations and attentive to changes in laws and rules as they affect payroll.
  • Demonstrated ability to perform tasks accurately and efficiently, deal with complaints and problems calmly, and have an understanding of the sense of urgency employees may have.
  • Effective communicator with a professional and courteous manner both verbally and in writing, exercises discretion, and maintains trust and confidentiality appropriate to payroll.
  • Ability to maintain professional boundaries and maintain confidentiality with sensitive corporate information as well as with protected patient information in accordance with patient confidentiality laws.
  • Committed to supporting other accounting staff as well as developing amenable relationships with colleagues, employees, and the general public.

MINIMUM QUALIFICATIONS:

  • Completion of at least one year of basic accounting coursework; AA certificate in accounting preferred.
  • Minimum of 2 years of experience in a computerized payroll/HR system, ideally ADP Workforce Now.
  • Excellent attendance history and ability to occasionally work overtime to meet biweekly payroll deadlines.
  • Able to maintain strict confidentiality around personnel and payroll information.
  • Any offer of employment is conditional upon review of a current intensive State criminal background check and ability to pass a pre-employment drug test with no evidence of mood-altering drugs, legal or illegal, including THC/marijuana.

WAGE & BENEFITS: Pay range is $26 to $38 per hour, depending on experience and qualifications.

  • Signing and retention bonus paid by June 30, 2023.

The successful candidate must be detail-oriented, driven to be accurate, trustworthy with personal information, and able to work with minimal direction once trained. Hours: Full-time hourly, non-exempt position with occasional overtime. Some flexibility in days and hours worked to meet payroll deadlines.
