We are currently seeking a Program Coordinator for The Center for Brain Injury and Rehabilitation and LHCSA programs in Cortland, NY. These are community-based programs that provide supports and services to assist individuals who have sustained a traumatic brain injury with successful inclusion within their community. The center offers supports in the following areas: Service Coordination/Case Management, Independent Living Skills, Structured Day Program, Positive Behavioral Intervention Support Services, Community Integration Counseling, Community Transition Services and Home and Community Support Services.

Position Summary:
The Program Coordinator is responsible for providing clerical and administrative support to the CBIR and LHCSA programs.

Job Responsibilities:
  • Fulfills receptionist responsibilities.
  • Takes dictation, transcribes, edits, and prepares correspondence, documents, grants and reports for program staff as assigned. Independently composes correspondence and reports for signature as delegated.
  • Investigates, coordinates and documents recordable and serious reportable incidents per Agency and waiver requirements.
  • Completes billing through various sources including but not limited to, Medicaid, insurance and private pay billing in compliance with Liberty Resources and federal regulations.
  • Assists the Finance department in creating timely and accurate financial statements, administers billing and special financial projects.
  • Coordinates LHCSA HCSS scheduling, manages and surveys staffing needs on continual basis.
  • Supervises Lead HCSS in his/her administrative duties.
  • Assists with staff orientation, supervision and training, scheduling and coordination of meetings, workshops, in-service trainings and reservations. Maintains schedule for use of CBIR Cortland conference rooms.
  • Management and Coordination of HCSS and LHCSA staffing needs including schedule drafts, Dayforce management and surveying staff availability based on program needs.
  • Coordinates and conducts QI reviews, audits charts, gains staff and participant input and prepares reports for submission to Divisional Director.
  • Ensures that the physical plant is maintained according to health and safety codes, regulatory requirements and the agency’s CQI standards.
  • Set up all Clinical, Medical and Case Management charts on new participants and distribute information to designated staff.
  • Assists with communication between CBIR program staff and outside agencies.
  • Tracks clinical services and maintains regular contact with the Regional Resource Development Specialist(s) to closely follow the status of NOD’s (notice of decisions), corrections to initial service plans, revised service plans, and addendums and communicates to clinical staff due dates for NOD’s, PRI/Screens and UAS.
  • Performs other duties, responsibilities and related tasks as assigned.
Qualifications:
Associates degree in business or related field and 1 year of experience; High School diploma with 2 years’ work experience in a business setting. Strong interpersonal skills. Effective oral and written communication skills. Computer competency to include proficiency with Microsoft Suite. Sensitive to cultural differences and able to incorporate that understanding into service provision. Demonstrated creativity, flexibility and knowledge of cognitive remediation and techniques. Excellent organizational and communication skills. Regularly required to sit, stand, walk, bend, climb stairs and lift objects of up to 20lbs as required.
