GENERAL SUMMARY / OVERVIEW:

The Gene and Cell Therapy Institute (GCTI) is a newly created system-wide Institute under Mass General Brigham. The Institute will foster a world-class gene and cell therapy program that will leverage ongoing, groundbreaking scientific research efforts across the MGB system.

The mission of GCTI is to bring together the community of MGB investigators which can utilize gene and cell therapy platforms to achieve their scientific and clinical goals and improve the health of patients. The Institute will differentiate itself by harnessing the exceptional strengths of clinician scientists, the large and unique patient population, and major discoveries throughout the hospital system to propel MGB as the leader in Gene & Cell therapies.

Under the general direction of Gene and Cell Therapy Leadership, the successful candidate will be responsible for providing administrative support to staff and management of GCTI includes planning, implementation, and evaluation of various programs within the Institute. This role involves managing the day-to-day operations of the office, coordinating meeting, travel arrangement, communications with stakeholders, and office management.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Coordinate program activities, including scheduling meetings, preparing materials, and communicating with stakeholders.

Coordinate monthly Gene and Cell Therapy Symposium

Organize and track program tasks and progress, identify and resolve issues, and report on program outcomes to management.

Work closely with MGB Marketing team to coordinate Institute communications.

Provide administrative support, including managing calendars, scheduling meetings, and arranging travel.

Manage the Institute’s office space, including ordering supplies, maintaining equipment, and overseeing facilities management.

Process and manage documents, including contracts, invoices, and correspondence.

Provide customer service to stakeholders, including clients, partners, and vendors.

Assist with budget management, including tracking expenses, expense reimbursements, e-checks, and management of corporate credit cards.

Maintain accurate and up-to-date records, including personnel files, financial logs, and other documentations.

Manage the institute’s digital and physical filing systems.

Manage timekeeping for staff using the Institution time keeping software.

Plans and executes special events / functions - both formal and informal events throughout the year.

Contribute to diversity and inclusion initiatives and team engagement activities ideas

Provide support to other Institute initiatives as needed.

Bachelor’s degree preferred

A minimum of 1year experience required

Superb attention to detail, excellent follow through and problem-solving skills are required

This position also requires excellent interpersonal, organizational and customer service skills, the ability to handle multiple tasks simultaneously, and the ability to work effectively with many different personalities

SKILLS/ABILITIES/COMPETENCIES:

Excellent attention to detail, organization, drive, interpersonal and communication skills

Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Microsoft Outlook

Ability to work quickly and efficiently, prioritize tasks and meet deadlines

Experience with research environment preferred

Superb discretion, diplomacy and judgment

Ability to interact professionally with contacts at all levels within and outside the for Mass General Brigham organization

Ability to work on multiple projects simultaneously
