Purchasing Agent
ACCOUNTABILITY STATEMENT:

The incumbent is responsible for supporting the Purchasing Manager, Facilities Manager, Vice President of Corporate Real Estate and Senior Vice President of Corporate Real Estate and Security. The incumbent will be responsible for locating suppliers to evaluate vendors, negotiate costs, review the quality of products, and track the delivery and overall service. Incumbent will accumulate data regarding the specifications and requirements needed for various projects. Also, incumbent will serve as backup to the Facilities Analyst for interior and exterior building maintenance needs. The position will manage vendors and contractors in support of the department, including maintaining records and contracts, coordinating project activities, new branch set up, and providing scheduling support. Duties include Corporate Real Estate budget expenditure monitoring, input, and analysis. This position regularly communicates and interacts with all internal back office support departments and all branches. The incumbent is required to possess strong interpersonal skills and the ability to interact with all levels of employees and management with high standards of professionalism.
ESSENTIAL JOB FUNCTIONS:
  • Interfaces with various department managers and team members to plan and prioritize purchasing needs.
  • Assists with preparing budget forecasting, analysis, and actual reporting.
  • Confers with vendors to obtain product or service information such as price, availability and delivery schedule. Effectively communicate to requestors as needed
  • Manages the Service Channel database for any updates to equipment, office equipment vendors (Diebold VAT and Vault, Cummins-Allison Currency counters and coin machines, and Glory TCR’s), billing, service contracts, and advocate for branches for call and repair escalations with vendors.
  • This position procures and fulfills supply needs for the Cascone building, VyStar tower, 100 West Bay building, Contact Center Pods, for all mail room operations and facilities-related consumables/commodities. This includes, but is not limited to, proprietary and custom printed paper products, all office supplies, janitorial, break room, and some proprietary supplies.
  • Independently manages the online supply order program for the company. Makes decisions on adding and removing contractual items and approving supply orders. Manages all user accounts and budget centers for supply orders as well.
  • Tracks approved budget expenditures against Annual Operating Plan. Assists with monthly reviews and analysis for reporting to ensure departmental budget is efficiently managed.
  • Manages and audits the fixed asset inventory for FF&E vendor stock by part, model, serial number, and location. Tracks the movement and transfer of fixed assets and coordinates with the Accounting department. Generates destruction reports and forms on fixed assets to remove from inventory.
  • Researches and accumulates data regarding the specifications and requirements necessary for service, supply and special project contracts. Identifies opportunities and implements actions to achieve efficiencies.
  • Coordinates with the Purchasing Manager the purchasing of small office equipment, installation equipment repair requirements. Assists with tracking material/supply requirements and recording completed maintenance actions on small office equipment. Follows up as needed with department, branch Managers, and Risk Management on completed actions to ensure problems/failures have been satisfactorily repaired.
  • Liaises between vendors and various departments/branches as needed to contact service vendors and manages needed actions and ongoing special projects. Makes decisions and moves projects forward to completion.
  • Independently manages the new branch office supply and essential branch setup and supply item lists. Procures what is needed and coordinates the receiving and communicates with the mailroom and the branch for timely delivery and to ensure they have everything they need to succeed on day one of opening.
  • Makes decisions and prioritizes responses depending on the nature of the caller’s questions and places appropriate equipment, supply, service, and waste service calls. Escalates and contacts vendors and technicians personally to support branches.
  • Serves as point of contact for Corporate Real Estate facilities service calls and preventative maintenance for all departmental-managed services and equipment. This includes, but is not limited, to branch banking equipment and solid waste services.
  • Serves as a backup to the Facilities Analyst and assists Corporate Real Estate Department, Facilities Manager, and Branches as necessary.
  • Regularly interacts with back office support departments and branch staff on multiple support levels. Prompt, professional and courteous responses are required.

Education
  • A bachelor’s degree is required.
Skills
  • 5+years’ experience in a high paced office environment is required. (facilities management office environment is preferred. ) Prior banking background is advantageous.
  • Must possess problem-solving skills, exceptional interpersonal, verbal and written skills, with a heavy emphasis on written skills.
  • Budget record keeping experience, proficient with Microsoft Office programs in using, Excel , Word, Outlook and Project and data base programs is required.
  • The incumbent should have a Florida Driver’s License with a safe driving history for a minimum of two consecutive years.
  • Experience in dealing with vendors and sales personnel is required.
  • Must be able to manage multiple tasks and appropriately set priorities. Incumbent works independently with minimal direct supervision.
  • Must have the ability to rely on experience and judgment to plan and accomplish various goals and objectives and meet structured timelines.
  • Incumbent must be able to perform a variety of complex tasks in a timely and efficient manner.
  • CPP (Certified Purchasing Professional) Preferred
