Position: Records Manager Specialist - Jr.

Length: 12-16 months

TTC seeks a Records Manager - Assistant to tackle a challenging records retention project at the Federal Railway Administration (FRA)
Our candidate will team with the Lead Records Manager to plan and conduct a four-phase project to bring the FRA into compliance with NARA directives.
Job Summary/Requirements:
  • Phase One, (the discovery phase): Consists of providing an estimate of the total cubic feet of paper records in each FRA Headquarters Program Office. These paper records will consist of files will be deemed permanent records; files deemed temporary but not yet eligible for destruction, files are eligible for destruction. Once the Paper Records Estimate is complete, the project will move into the record and retention identification phase.
  • Phase Two (record retention and identification): During this phase, our candidate will assist in sorting records by record type and identifying retention for each record type. Records will need to be sorted based on whether they are eligible for direct offer to NARA, eligible for transfer to Federal Record Center, eligible for destruction or must be stored in-house for 2 years or less before being eligible for in-house destruction. This phase will produce a comprehensive records Inventory.
  • Phase Three: (Prepare for scanning, transfer, or destruction): During this phase, you will assist in the preparation of the records for scanning, and duties will include creating inventories and box records, separating by file type and date, and preparing inventory/box list for each type. Records that are eligible for destruction in 2 years or less, will be boxed and a minimum inventory prepared; these records will be stored in-house until eligible for destruction. Records that are eligible for destruction in more than 2 years, will be inventoried & boxed for shipment to the Federal Record Center. Permanent records will be separated based on retention. Those records which are immediately available for direct transfer to NARA will be inventoried and boxed for shipment. Those permanent records that are not yet eligible for shipment to NARA will be inventoried and boxed for shipment to the Federal Record Center. During this phase, you will assist in creating Record inventory/box Lists , documentation for records transfer, and documentation for records shipment
  • Phase Four: (Scanning) During the final phase, you will assist in electronically scanning any files that cannot be shipped hardcopy to either FRA or NARA due to light volume and creating associated inventory/box list. Scanning will be done based on predetermined scanning requirement, and will result in the production of inventory/box list of scanned records.
Requirement:
  • Bachelors Degree and one year relevant work experience
or
  • Associates Degree and three years relevant work experience
or
  • Five years relevant work experience
