What you’ll be doing

The Community Food Co-op’s Retail Systems Coordinator plans, administers, and provides support for the Co-op's technology systems, networks, and initiatives; including but not limited to point-of-sale, retail systems, IP network infrastructure, and end-user desktop support. The Retail Information Systems Coordinator is also responsible for varying levels of project management, vendor management, security policy implementation, and staff training.

The Retail Systems Coordinator reports to the Information Systems Director.

Location & Commitments

  • Holly Street Offices, Bellingham, WA
  • Full-time, Non-Exempt
  • Starting pay is $24.00/hr (range is $21.00-$27.00)
  • Hours and days vary, morning, evening, and weekend shifts will be assigned
  • Schedules are posted at least 2 weeks in advance

What you’ll be responsible for

  • Retail Systems Administration:

o Responsible for daily administration and troubleshooting of Catapult retail automation software and server infrastructure.

o Ensure all Catapult software upgrades are scheduled to minimize impact to Co-op operations and administration.

o Provide database administration services to co-op staff, including the import and export of large data sets within retail systems applications.

o Maintain timely and robust Catapult backups to ensure the Co-op’s business continuity in the event of a disaster.

o Provide support for Catapult webcart online shopping module.

o Responsible for daily administration and troubleshooting of all prepared foods systems scale hardware, software, and databases (Chef-Tec, Filemaker, Data Gateweigh.)

o Provide Catapult reports to co-op staff members upon request.

o Establish and support store-wide receiving systems and procedures.

o Establish and support store-wide live inventory systems and procedures.

o Establish and support store-wide shrink systems and procedures.

o Performing other duties as needed and assigned.

  • Point-of-Sale Administration

o Ensure routine maintenance is performed on front-end hardware to minimize the impact on Co-op operations.

o Promptly troubleshoot and escalate front-end hardware/software trouble tickets to minimize the impact on Co-op operations.

o Coordinate with Front-end managers to configure software and establish point-of-sale processes and procedures for front-end staff members.

o Escalate payments and credit/debit processing issues to point-of-sale vendor support and payments processor support.

o Maintain rolling replacement schedule for all front-end hardware.

o Procure, configure, and install all new point-of-sale hardware.

  • Desktop Support

o Provide friendly and prompt tier1 and tier2 end-user desktop support.

o Coordinate with HR and payroll staff to on/off-board all user/email/POS/voicemail accounts.

o Configure and migrate new desktop computers, laptops, printers, and peripherals.

o Escalate trouble tickets to Managed Services Provider (MSP) as needed to minimize impact on Co-op operations and administration.

  • Vendor Management

o POS – ECRS

o Escalate trouble tickets to POS Support Provider as needed.

o Direct and coordinate with POS Support Provider to replace and upgrade all POS hardware and software as needed to minimize impact to daily operations.

o Various support providers (Hobart scales, telephones, retail applications):

o Escalate trouble tickets to support providers as needed.

o Coordinate with support providers to replace and upgrade hardware/software.

  • Miscellaneous

o Responsible for daily administration of VoIP hardware and software.

o Assist with pricing department duties and troubleshooting as needed.

o Maintain audio/visual equipment in classrooms; including TVs, projectors, cameras, and speaker systems.

  • Training

o Regularly train new and existing staff to use retail systems software and hardware.

o Regularly train new and existing staff to use IT systems software and hardware.


What skills are needed

  • Proven success with retail point-of-sale systems hardware and software support.
  • Maturity, accountability, and levelheadedness in complex and emergent situations preferred.
  • Strong customer service and communication skills
  • Strong problem-solving and analytical skills preferred.
  • Ability to multitask several high and emerging priorities at once.
  • Experience with multiple retail business applications including accounting, payroll/time and attendance, desktop publishing, and Microsoft Office products preferred.
  • Experience with organizational strategic and long-range planning preferred.
  • Willingness to adapt to a flexible schedule, including nights, weekends, and work outside of store hours, with frequent availability to perform work on-call.
  • Ability to speak and comprehend English well, multi-lingual is great.
  • Must be at least 18 years of age.

  • Ability to work in moderate and loud noise environments including, but not limited to: paging, telephones, human voices, music, and machinery.
  • Must be able to meet physical demands including standing, bending, twisting, pushing/pulling carts, repetitive motion, keyboarding, and lifting 10-40lbs regularly
  • Ability to climb ladders occasionally
