Sales Coordinator Summary

The Facilities Group is looking for a detail-oriented sales coordinator to contribute to the achievement of sales targets by supporting sales representatives, coordinating sales activities, and maintaining good customer relationships. The sales coordinator's responsibilities include supporting sales, ensuring order satisfaction, coordinating with other departments, motivating staff, handling administrative duties, and promoting customer satisfaction.

To be a successful sales coordinator, you should have excellent organizational, administrative, and problem-solving skills. You should also possess strong communication, interpersonal, and customer service skills.


Sales Coordinator Responsibilities

  • Receives and analyzes Requests for Proposals (RFPs) from Business Development (BD) and ensures appropriate Subject Matter Experts (SMEs) are assigned to and notified of the RFP.
  • Prepares and modifies full proposal text, budgets, and cover letters responding to RFPs and rebids without assistance from proposal management staff and based on feedback received from SMEs.
  • Manages RFPs independently, including the most complex or ill-defined FSPs, preferred provider, or strategic RFPs received from clients.
  • Ensures proposal text and budgets are in agreement with RFP, client specifications and communications, and internal assumptions.
  • Obtains third party quotes as needed. May work with vendors to negotiate special pricing terms related to their offering.
  • Manages the proposals process from RFP receipt to proposal delivery, identifying potential barriers or risks for completion and identifying and implementing mitigation strategies.
  • Anticipates risks and escalates to management prior to the deliverable being at risk.
  • Works with contracts, finance, and operations to facilitate project initiation.
  • Updates proposals and/or sales management tools, systems and/or forms regarding proposal or rebid status and value as directed.
  • Coordinates and participates in project hand-over meetings.
  • Present budgets in complex client-specific/requested formats.
  • Provides functional guidance and application of process guidelines to internal constituents as needed.
  • Suggests and implements pricing and proposal strategies to improve quality of proposal based on experience in similar situations or RFPs. Collaborates with team members, operations, and business development, to customize and develop proposal submissions.
  • Mentors and/or trains less experienced team members, including managing to internal processes and stage gates and use of tools and technologies.
  • May assist department leadership with initiatives and/or process improvement.
  • Ensuring Adherence to law, regulations, and policies.


Sales Coordinator Requirements:

  • A bachelor's degree in business administration or a related field (preferred)
  • 2 or more years’ experience in sales.
  • Experience as a sales coordinator or in administration may be advantageous.
  • Good team development and leadership skills.
  • Experience in sale analysis.
  • Proficiency in Microsoft office and CRM software
  • Good administrative, organizational, and problem-solving skills.
  • Excellent communication, sales, and customer service skills.
  • Projection and forecasting skills.
  • The ability to multitask, work in a fast-paced environment, and meet deadlines.
  • Current knowledge of industry trends and regulations.
  • Ability to work independently and with cross-functional teams.
