TITLE: Scheduler

REPORTS TO: Administrator

Job Summary: The Scheduler will coordinate and maintain the nursing schedule for the Minnewaska Lutheran Home (MLH) as well as purchasing for all of Minnewaska Community Health Services (MCHS). This position will be responsible for answering all incoming phone calls and transferring them appropriately. The Scheduler is responsible for welcoming and greeting all guests or visitors and assisting them in a professional manner with excellent customer service. The scheduler will coordinate communication with outside vendors in regard to MLH.

Qualifications: Minnewaska Lutheran Home requires COVID-19 vaccination for all staff in order to comply with Federal, state and local guidelines. Required to have excellent customer services skills both on the phone and in person. Required to have excellent organizational skills with strong attention to detail. Previous experience with customer service is preferred. Must have 2 year business or related degree. Purchasing experience preferred, but not required. Required to have an ability to read, write and speak English, and complete and pass a state required background study form which checks for certain criminal convictions or serious/recurring maltreatment.

General Responsibilities:

  • Maintain and coordinate the nursing schedule for MLH to ensure adequate/appropriate staffing.
  • Greets and welcomes all guests or visitors with excellent customer service, assisting them with their needs.
  • Scanning in individuals at the front door and taking their information.
  • Obtain a visitation schedule with the residents.
  • Answer all incoming calls in a professional manner and transfer them appropriately.
  • Keeps calendars current for company vehicles and conference rooms.
  • He/She also communicates information to Director of Nursing and Human Resources Coordinator for position needs.
  • Demonstrates a high level of accuracy and attention to detail.
  • Complete daily nursing assignment sheets on an everyday basis.
  • Meet with new employees after new hire visit to set up their orientation schedule and assign them their block schedule.
  • Track and trend employee absences.
  • Coordinate new hire orientation.
  • Enter time sheet adjustments, on an ongoing basis.
  • Organize, direct, and carry out purchasing program. Obtains administrative approval for major supply and equipment purchases.
  • Ensure supply areas are stocked appropriately at all times.
  • Prepares, signs, and submits purchase orders to sales representatives.
  • Enters new employees to EHR.
  • Track and trend burn rate of personal protection equipment.
  • Complete required staff reporting to the proper agencies.
  • Enter orders and print stickers for required Covid-19 testing.
  • Coordinate courier services.
  • Update compliance manuals and binders as directed.
  • Assist Department heads with facility P&P template branding.
  • Schedule facility meetings, send invites.
  • Demonstrates dependable, professional work habits.
  • Basic competencies regarding abuse, neglect, exploitation, and misappropriation of resident property.
  • Scan and upload documents for departments as needed.
  • Set up and facilitate rides.
  • Facilitate tours of MLH.
  • Schedule Adult Day services.
  • Coordinate with Senior Linkage Line with PAASR.
  • Attend regional meetings for admission coordinators.
  • Keep meeting minutes and distribute as required.
  • Assist department heads with administrative tasks as needed such as mailing, scanning, filing, etc.
  • Sort mail and distribute to staff members and residents.
  • Basic competencies regarding dementia management, infection control and other areas as identified through the facility assessment.
  • Respond to emergency codes, ie: fire
  • Other duties as directed.
