Overview:

Salary Range: $28.85 - $33.65 per hour.


The Senior Administrative Assistant is responsible to provide support to Executive Assistants and will provide administrative support to other designated executives and senior leadership team members. This individual will perform diverse administrative duties including review and communication of confidential materials, documents correspondence, reports and proposals and other general clerical duties in accordance with Holland Partner Group’s Core Values.

Responsibilities:
  • Provide professional and collaborative support for the assigned Residential Senior Leaders exercising judgment and discretion to ensure optimal work and information flow.
  • Brief assigned leaders on upcoming commitments and responsibilities, providing follow up as appropriate.
  • Provide back-up support for Board of Director meetings.
  • Manage appointment calendars, coordinate meetings, review mail, provide telephone support.
  • Coordinate complex in-person and virtual meetings.
  • Coordinate and assist with travel arrangements including itineraries.
  • Prepare expense reports and monitors budget(s) as directed.
  • Coordinate and assist with the planning of various events / activities including dinners, lunches, retreats, and meeting.
  • Participate in the development, implementation and maintenance of executive office systems and services as appropriate.
  • Type, edit and proofread documents and correspondence.
  • Copy, fax, scan, and distribute documents and correspondence.
  • Prepare, organize, and maintain confidential files.
  • Compile, copy, collate, and assemble special reports.
  • Gather information to prepare reports and conduct basic analysis.
  • Assist in creating presentations on an as-needed basis.
  • Support CEO and COO Executive Assistants with special projects and various administrative tasks as needed.
  • Process outgoing Fed-Ex, mail, and other packages.
  • Reconcile bank statements as needed. Maintain confidentiality of sensitive documents and information.
  • Represent Holland Partner Group in a professional manner at all times.
  • Perform all other duties as directed and assist the overall team effort in any way possible.
Qualifications:
Education : High school diploma or equivalent is required. A college degree or related coursework is preferred.

Experience
: Four years of Administrative Assistant experience required. Prior experience supporting C-Level Executives strongly preferred.

  • Basic office organizational skills such as filing, mailing and shipping via FedEx.

  • Ability to meet timelines, milestones, and deliverables in a timely manner.
  • Demonstrate and display honesty, integrity, and personal accountability.
  • Ability to work autonomously as well as part of a team and follow directions accurately.
  • Ability to maintain high level of confidentiality.
  • Strong customer service orientation.
Attendance : This full-time position requires regular and punctual attendance compliant with the schedule set to meet company needs. Additional hours or overtime may be required.

This position also requires:
  • Valid driver’s license.
  • Ability to lift or move up to 20 pounds.
  • Hearing and visual ability to observe and detect signs of emergency situations.
  • Fluency in English both verbally and non-verbally.
