Under general supervision, the Senior Administrative Assistant coordinates, oversees, and/or performs a wide variety of administrative support activities for the Office of the President. Assignments are confidential in nature. May coordinate staff and office support such as student employees. Coordinates and plans special events and meetings. May serve on a variety of committees in a support capacity. Facilitates and administers the day-to-day operations of the department. Develops and manages projects to help achieve the mission and goals of the director or department. Serves as the primary point of contact for internal and external constituencies.
Duties and Responsibilities
  • Oversees the day-to-day administration of the office;
  • Ensures compliance with university policies, operating agreements, and state and federal laws and regulations;
  • Assists in the development and update of policies and procedures for the office;
  • Aids in the understanding and interpretation of university policies and procedures;
  • Assists with Scheduling and planning meeting for the Office of the President;
  • Maintains the President’s calendar;
  • Independently creates, edits, and distributes communication through email, documents, and presentations mainly of a confidential nature;
  • Gathers, investigates, researches, analyzes, and/or studies information requested by the Office of the President;
  • Orders supplies for the Office of the President;
  • Maintains files;
  • Screens incoming visitors and assists as the primary point of initial contact on administrative and operational matters for internal and external constituencies, to include faculty, staff, student governance groups, and the community at large;
  • Independently researches and prioritizes incoming issues and provides recommendations for appropriate course of action, referral, and/or response to supervisor;
  • Participates in various committees;
  • Processes travel requests, invoices, purchase orders, purchase requisitions, and other documents related to the operations and activities of the Office of the President;
  • Answers phones, transferring calls to the correct person or takes messages as needed;
  • Provides customer service to students, faculty, and staff;
  • Performs other job-related duties as assigned.
Minimum Job Requirements
EDUCATION: High School Diploma or GED.
EXPERIENCE : At least 3 years of experience directly related to the duties and responsibilities specified. Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.
Preferred Qualifications
EDUCATION: Associate degree in any field.
EXPERIENCE : Experience in Higher Education; experience working with Ellucian Banner and/or PeopleAdmin.

  • Skills in the use of database management, word processing, spreadsheet, and/or presentation software;
  • Knowledge of current and emerging trends in technologies, techniques, issues, and approaches in area of expertise;
  • Skill in organizing resources and establishing priorities;
  • Ability to lead and train staff and/or students;
  • Word processing and/or data entry skills;
  • Ability to create, compose, and edit written materials;
  • Knowledge of office management principles and procedures;
  • Ability to coordinate and organize meetings and/or special events;
  • Knowledge of academic administrative principles and procedures.

Physical Demands
  • Repetitive hand motion and prolonged use of computer;
  • Sitting for extended periods of time;
  • No or very limited physical effort required.
Working Environment
  • Work is in an indoor/office setting;
  • Work with frequent interruptions in a fast-paced work environment.
