Duties & Responsibilities :

  • Performs all administrative functions as requested by the General Manager in a quality manner.
  • Works with all office staff to provide effective liaison communication between management, customers, and merchants.
  • Enter tenant sales information into JDE monthly, draft service contracts, prepare general correspondence and memoranda; answers telephones and directs calls; functions as Receptionist in responding to customer inquiries at the Receptionist counter, and provides supplemental oversight of any substitute Receptionists.
  • Assists with updating and maintaining the Shopping Line, assists with the administration of day-to-day shopping center operations including monitoring contractor requests for access to common areas and management staff members.
  • Assists Bookkeeper with Accounts Payables. Process and pay all invoices in a timely manner.
  • Reviews Certificates of Insurance for compliance with PREIT standards and communicates directly with tenants, contractors, vendors, and Risk Management as needed.
  • Tracks late store openings and early closings.
  • Circulate Customer Feedback submissions to the General Manager as well as other department heads as appropriate.
  • Provide administrative assistance to the Specialty Leasing Manager.
  • Communicate directly with Specialty Leasing Tenants as directed by the Specialty Leasing Manager. Tasks include preparing correspondence, rental license agreements, default letter, termination letters, Security Deposit refunds, write offs, etc.
  • Follow up as necessary with SL Tenants who have not submitted the required documentation including Abington Township permits.
  • Verify move in and move out dates, order signs, notify WGP Management Staff of all new tenant start dates and departure dates.
  • Collect Certificates of Insurance from all SL tenants, confirm all information is correct and input COI into XLS. Track expiration dates on all COIs.
  • Collect sales by noon each Monday. Enter sales into XLS and if no sales information received from tenant either call the tenants or prepare Default letter.
