Job Description
Assists the ED Director and other physician leadership in daily operations by performing and/or overseeing clerical administrative and office functions. Acts as the liaison between corporate office personnel, physicians, patients, hospital personnel and the public in general.

ESSENTIAL JOB FUNCTIONS:
  • Coordinate all aspects of the ED administrative office to provide effective and professional interactions with hospital department to assist Medical Director to ensure we are providing the services and quality desired.
  • Coordinate Outlook calendar for Medical Director and manage meetings with leadership team and hospital administration. Interact with hospital leadership and USACS leadership and coordinate multiple schedules. Integrate Zoom options into Outlook meetings and manage the Zoom meeting to ensure audio/visual is working and attendees have access.
  • Manage Workday Expense submissions for Site Director (and other clinicians, as needed). Follow progress through to final approvals.
  • Track site metrics, report and distribute to Director, VP, President on prescribed schedule
  • Participate in Patient Satisfaction initiatives at site. These may include patient call back phone calls, reporting and other duties assigned by Director.
  • Assist Director by investigating issues and coordinating with other departments to conclusion
  • Manage projects as assigned by Director.
  • Assist additional site leaders as directed – Assistant Director, EMS Director, Quality Director, APP Leadership
  • Support site clinicians with corporate systems usage (Workday, Workday Expense, Shift Admin, TCL). Provide direction, as needed. Connect with IT to ensure issues are resolved, when necessary.
  • Support new clinician onboarding process including scheduling orientation, EMR training, receipt of ID badges, tours, meetings, dinners
  • Coordinate site recognition programs
  • Create monthly quality reports and quality dashboards
  • Manage staff meeting agenda and create minutes for distribution
  • Follow up on outstanding hospital charts and Coder Comms
  • Coordinate distribution of articles, ED update emails, hospital updates, ED newsletter, etc. to site clinicians
  • Assist hospital staff in maintaining and tracking hospital accreditation requirements (CME, certifications, etc.)
  • Communicate with Credentialing to monitor start dates for new hires and coordinate where Director may need to give assistance.
  • Event Coordination/Support (Department Wellness activities, Nurse Recognition events, Recruiting Events-Meetings, Dinners, Tours)
  • Holiday Parties
  • Compose, prepare, maintain, and distribute email documents, spreadsheets, databases, graphs, presentations, reports, and other department documents with an emphasis on accuracy. May involve gathering pertinent data from a wide variety of sources.
  • Create and maintain department manuals, records, and electronic and hard copy files. May include patient data, as needed

  • Attention to detail and ability to produce extremely accurate work.
  • Ability to work with people at all levels of the organization and with our hospital partners. Ability to communicate with employees, physicians, management and external business contacts in a courteous and professional manner. Must have knowledge and proper usage of correct English and grammar.
  • Ability to maintain highly confidential information.
  • Ability to process assigned duties in an efficient amount of time and in an organized manner. Ability to proactively anticipate needs and to work accurately and successfully in a timely manner with limited amount of supervision.
  • Ability to effectively work in a multi-task environment, to coordinate and prioritize various tasks simultaneously.
  • Ability to identify, research and resolve problems and discrepancies. Ability to determine appropriate course of action, referral, or response.
  • Ability to work overtime, with leadership approval, and put forth extra effort when needed. Position requires flexibility such as coming in early, staying late, or postponing lunch to accommodate department needs.
  • Ability to identify emerging issues and communicate them to management.
  • Ability to exhibit leadership by demonstrating a commitment to teamwork, supporting alignment with company and department goals and objectives, assisting others to develop their knowledge of the company and department, adapting to change in a positive manner that exemplifies commitment, and working proactively with minimal supervision.
EDUCATION AND EXPERIENCE:
  • Associates Degree with two years’ administrative experience or high school diploma or equivalent with five years’ administrative experience.
  • Must have thorough knowledge of and skill in using personal computer in a Windows environment with strong emphasis on processing electronic documents/attachments with Adobe, spreadsheets (Excel Intermediate to Advanced Level), presentation, and database applications and Internet usage.
Hourly Rate: $16.33 - $27.22
