Summary of Position

With oversight from the Director of Quality & Corporate Compliance, the Health Information Management (HIM) Manager safeguards the maintenance and control of all patient medical records; producing files for use on the request of authorized personnel; and upholds patient and employee confidentiality at all times. The Health Information Management (HIM) Manager connects and collaborates with Senior TLC leadership, supervisors, leads and providers to ensure excellence and compliance for all. Serves as HIPAA Privacy Officer.


Minimum Qualification and Required Skills:

  • Knowledge of Medical Record content for outpatient visits.
  • Knowledge of medical terminology, anatomy & physiology.
  • Organized and attention to detail and quality.
  • Ability to prioritize workload and strong recall and recognition skills.
  • Ability to perform computer functions in Microsoft applications.
  • Good verbal, written and computer communication skills.


Education:
Associates degree, BA/BS preferred in Health Information Management or Health Administration

Experience: Three to five years in medical records or related experience.

Other: RHIA preferred.


Key Responsibilities:

  • Develop, implement and maintain policies and procedures relating to medical record maintenance, release of information, and record retention; monitor compliance to set standards within the department.
  • Manage the department consistent with ethical and legal requirements while remaining abreast of industry standards for HIPAA and Privacy Laws
  • Maintain department statistics on work volume, productivity and accuracy for use in long-range planning and budgeting;
  • Evaluates and recommends new technology to assist the departments in performance of their duties;
  • Selects, trains, supervises and evaluates departmental personnel;
  • Supervise, coach and mentor Health Information Management staff
  • Ensure medical record department executes tasks timely and accurately;
  • Actively participate in Quality Improvement Initiatives in your department
  • Establish, assemble and audit participant medical records for new admissions. File and audit in active participant charts. Audit discharged patient charts.
    • Responsible for monthly completion of FL2 forms (annual FL2s)
  • Oversee the referral department daily operations ensuring scheduling procedures are met. Oversight for producing/analyzing reports on appointment patterns, trends, outcomes, and addressing any complaints from participants, participant representatives and/or clinical providers.
  • Oversight/Monitoring of:
    • Physician orders sent to physicians for signature and the return of signed order to PACE in a timely manner
    • Weekly review and audit of scheduled care plans
  • Provides technical guidance and training to physicians and other department staff in identifying and resolving issues or errors, such as incomplete or missing records and documentation, ambiguous or nonspecific documentation, or codes that do not conform to approved coding principles/guidelines.
