Temp RGA – Return Goods Authorization Processor

Department: Administration – Account Mgmt. Operations
Reports to: Account Mgmt. – Admin
Position Location: Irvine

What We Are Looking For
This employee would be responsible for delivering a high level of customer service and first point of contact processing Warranty RGA parts orders for domestic and international regions that are generated by our Technical Support teams. RGA Processor required investigating exceptions, responding to timely requests, and changing and altering orders per technical support requests. They will also be responsible for ensuring superior and consistent levels of customer service to meet company and team objectives which include, but are not limited to: positive customer interaction and order processing. Must be able to work overtime, close month-end discrepancies, and work and report to Team leadership in Irvine.

Essential Job Function:
Process domestic and international Warranty Parts – RGAs using an SAP computer system. Average order processing is 6K per month with an average of 8K quantity lines. Each order requires processing within 2 minutes.
Virtual network processing orders to distribution centers such as Toano, Virginia, and Ontario Canada.
Work with Technical Support staff to review the accuracy, pull more customer contact information, may need to request a new order as appropriate.
Prepares FedEx shipping labels for shipping and return label processing using a Zebra FedEx Parcel printer.
Prepare and upload commercial invoices onto FedEx Ship Manager.
Update annual pricing via FedEx Ship Manager.
May on occasion supplement part numbers due to back order items.
Comply with and maintain Warehouse cut-off times.
Answer telephone hunt group calls relating to Warranty Order shipping inquiries from customers.
Work with FedEx Domestic and International teams to resolve shipping issues related to non-deliverable locations, address corrections, and lost or damaged shipments.
Files FedEx Parcel Claims and follows up with customer for resolution.
Act as the liaison between the company and vendors to coordinate the shipping of returns and work with 3rd party shipping companies.
Enforce departmental return policies and seek advice and/or from the Returns Administration team.
Produce nightly RGA reports to Tech Support Manager, and Account Mgmt. team leaders.
Maintain proper update and filing of orders and shipping documents.
Respond to customer inquiries by fax, phone, and email.
Report any back orders, shortages, and escalations to Acct. Mgmt., Technical Support Supervisors, and Warehouse Purchasing teams for resolution.
Proofread orders and correct any discrepancies.
Report daily shipping discrepancies, shipping details, and escalations.
Assist with the Sales Order team as a backup with other administrative duties as required.

Non-Essential Job Functions:
Direct any incoming calls which may belong to a different department.
Support and provide assistance in any other department as needed.

Skills:
Typing speed 65 wpm, 10 key by touch; alpha-numeric.
Excellent data entry and proper handling of keyboard typing
Excellent organization, communications, and attention to detail skills.
Excellent customer service, interpersonal, and follow-up skills.
FedEx Ship Manager and UPS Worldship Software.
Excellent and strong typing skills with a focus on accuracy.

Education/and or Related Experience:
High school diploma or general education degree.
Must have 1-2 years of shipping parcel orders, office experience, and order processing.
Basic proficiency in MSWord, Excel, and Outlook.
Pay Scale: $21.00 - $23.00
