Our client, a privately-held investment firm in Midtown is looking for a Senior EA to support a Founder. This person must be comfortable booking international and domestic, multi-leg travel. They should be well versed in scheduling meetings across various time zones and processing expense reports in various currencies. Confidentiality, ability to multitask, a 24/7 mindset, an out of the box approach to initiatives and solutions, and a strong work ethic are imperative to success in this role.

RESPONSIBILITIES
  • Provide comprehensive administrative support to Executive
  • Organize data and create processes in an ever-changing internal and external ecosystem
  • Conduct advanced gatekeeping; independently prioritize and track meeting/call requests and reroute as necessary
  • Manage constantly changing executive calendars, including detailed planning of meetings, conference calls and personal matters across multiple time zones
  • Coordinate frequent international and domestic travel
  • Respond to and screen incoming communications for Portfolio Operations; autonomously field inquiries, connect with prospect companies and high priority clients
  • Be available as needed at nights and on weekends to address questions and last-minute changes to appointments/travel
  • Liaise between the Executive and other Departments and Teams
  • Provide light administrative support to the rest of the ISP team
  • Process complex monthly expense reports
  • Update and maintain contacts and entries in Salesforce
  • Help organize team events and offsites
  • Work on specific team projects as needed

QUALIFICATIONS
  • 3+ years of experience as an Executive Assistant supporting multiple executives and/or senior team members
  • Superior communication skills, unquestioned integrity, and the experience, confidence and presence to work directly with Partners and portfolio/prospect companies
  • Strong time management skills; ability to handle multiple concurrent assignments with a high degree of accuracy and meet deadlines in a high-pressure environment
  • Positive attitude, no task too big or too small
  • Desire and capability to work as a team player
  • Highly motivated, self-driven, solution and detail-oriented
  • Able to work well in an ever-changing environment
  • Outlook and Microsoft Excel proficiency is a must
  • Experience with PowerPoint is a plus

HOURS
8:30-6pm + 24/7 mentality
3x a week in office, 2x a week from home

SALARY
$140-160K base + Bonus + AMAZING benefits
