Real Estate Transaction Coordinator

A Real Estate Transaction Coordinator with The Experience Real Estate facilitates the administrative tasks associated with the buying and selling of residential, commercial, land/lots and other real estate properties. This position is also responsible for gathering all listing information and creating and maintaining all MLS listings. Real Estate Associates help with creating and scheduling pre-listing communications to clients, agents, and preferred partners.

What you'll do!

  • Maintain ownership of all tasks and projects assigned to you or that you discover are needed.
  • Manage and execute all administrative tasks involved in the contract to close process for all real estate transactions.
  • Perform data input functions, process real estate information and sales records.
  • Create timelines and follow-up processes to ensure all transaction deadlines are met.
  • Gather, review and manage documents/disclosures in a timely manner.
  • Review all aspects and ensure all details are accurate and signatures have been obtained for the listing/purchase agreement, disclosures, and all other real estate transaction documents.
  • Enforce compliance within all processes.
  • Coordinate with other associates, agents, escrow and title officers, and mortgage lenders.
  • Track of deadline changes and send out applicable changes to all parties.
  • Maintain accurate and compliant transaction files, including: signed agreements, contracts, disclosures, inspection reports, receipts, statements, etc.
  • Provide weekly check-ins with real estate agents to ensure timely closings
  • Complete any necessary post-close activities, including processing earnest money and maintaining and reconciling escrow information.
  • Maintain Dotloop templates, master documents, task lists, etc.
  • Create and maintain all MLS Listings including:
    • Gathering all listing information including property data, photos and pre-listing information and materials.
    • Verifying information with agents to ensure accurate listings and updating status.
    • Ensuring assets are listed accurately across third-party listing and company websites.
  • Create and send pre-listing communication to agents, clients, and preferred partners.
  • Create and maintain an operations manual that documents all systems and standards.
  • Serve as back-up to other office staff as needed.
  • Perform any additional responsibilities as requested or assigned.

What you need!

  • High School Graduate or equivalent
  • Proficient in MS Office products
  • Experience using contract software, specifically Dotloop, and
  • Relevant real estate experience a plus!
