JOB TITLE: Trust Operations Support Assistant

Department: Trust and Wealth Management

Reports to: VP, Financial Services Support Officer

Education Requirements:

  • Bachelor’s Degree or equivalent related work experience with emphasis in Business, Accounting or Finance

Experience or Skill Requirements:

  • Experience in trust accounting and trust policies and procedures preferred
  • Ability to interact with clients, administrators, outsourcing service providers and support staff
  • Ability to maintain confidentiality, solve problems and work independently with speed and accuracy
  • Excellent computer skills with advanced knowledge of Microsoft Office and ability to learn other software applications quickly
  • Advanced written, verbal and interpersonal communication skills
  • Excellent organizational skills
  • Ability to manage and meet multiple deadlines
  • Thorough knowledge of all bank products and services

Duties:

  • Provide account support, including but not limited to establishing/closing accounts, processing and reviewing daily work, reviewing cash reports, and handling payment of expenses
  • Process receipts, client distributions and other payments via check, ACH, wire transfer and account-to-account transfer
  • Process retirement plan contributions, both to individual accounts and omnibus accounts
  • Process retirement plan distributions thru separate accounting system to ensure proper coding and year-end tax reporting
  • Responsible for asset movement, both incoming and outgoing transfers
  • Responsible for reconciling accounts, including checking accounts, fee accounts and internal suspense accounts
  • Responsible for quarterly RTC reports, Reg R reports as well as other reports requested by administrators or bank executives
  • Assist with processing Foundation account awards, including scholarships
  • Handle daily balancing procedures
  • Work with Compliance Department to cross-reference clients with OFAC and BSA databases
  • Compile data and reports as needed for internal and external audits and support audit function
  • Oversee asset vault and security protocols
  • Provide staff guidance and training for trust accounting system
  • Serve as liaison with outside service providers to deal with operational issues
  • Assist with managing supplies for the department
  • Handle branch mail
  • Execute/settle account trades
  • Other duties as assigned

Relationships:

  • Internal – Extensive contact with staff of outside service providers, account administrators, administrative support staff, customer service representatives and other bank employees regarding accounts, specific transactions and problem resolution
  • External – Moderate contact with clients regarding account issues
