Our winemaking and winery operations team is looking for an eager person who wants to dive right in and learn how things tick within a large Regenerative Organic Certified® winery. As winemaking operations specialist, you will perform diverse duties, which range from entering critical data in our systems to serving as the primary contact or “go to” person for the winery (and cellar) teams. Your varied responsibilities will help to ensure things run smoothly from an administrative point of view. By organizing, facilitating, expediting and processing winery administrative-related matters, you will contribute to a cohesive and smooth-running environment for the department. This position reports to the vice president of winemaking and winery operations and works closely with winemakers, winemaking lab, database team, cellar operations and related planning and logistics personnel.

Location: On-site 12901 Old River Road in Hopland, California

Essential Responsibilities:

Winemaker Database and Compliance – 50%

  • Process work orders from winemaking and bottling and enter them into the winemaker database system. Enter all lab analyses and maintain current information in the database. During harvest, perform red winery database management duties and provide support to the red winery team.
  • Support the winery’s business analyst with accurate and timely data entry to the winemaker database. This may require additional duties and responsibilities during harvest.
  • Responsible for approving the pre-bottling reports and labels on a weekly basis to be compliant with TTB. On a daily basis, support lab (winemaking/quality), planning and production teams on label approval activities.
  • Assist in the preparation of month-end reporting and balancing.

Departmental Purchasing and Budget Management – 30%

  • Implement all supply and service purchases for the winery and winemaking departments.
    • Communicates with the purchasing department to ensure timely receipt of orders and invoices.
    • Enter all receipts in SAP and any invoices in Concur.
  • Manages winery and winemaking budgets
    • Support the finance department by reporting on monthly variances and updating projections on a monthly/quarterly basis.
  • Organize and manage processing of expense reports in Concur for winemaking department staff and managers.

Office Management/Administrative Support – 10%

  • Manage winemaking office supplies/office equipment and responsible for the budget.
  • Process all departmental and outside wine requests and arrange for shipment or delivery (worldwide).
  • Handle all incoming communications for the operations and winemaking department.
  • Receive and distribute incoming and outgoing mail for department staff.
  • Post employee bulletin board and current events information as necessary
  • Assist in all departmental functions such as recognition award, birthdays, work anniversaries, etc.
  • Manage all visitor meetings and visits according to Company visitor policy.
  • Initiate travel arrangements, prepare itineraries and manage calendars for department staff.
  • Organize set up for all winemaker wine tastings for vice president of winemaking and winery operations. Organize tasting, confirm participation, set up and clean up.
  • Facilitate/coordinate winemakers’ activities with cellar, tasting room, and division sales, marketing and hospitality groups.
  • Directly support the vice president of winemaking and winery operations with calendars, tastings, meetings, travel, communication, organization and training schedules.

Bulk Wine Shipping – 10%

  • Maintain bulk wine shipping/receiving schedule
    • Communicate with Grower Relations to ensure bulk sale and purchase requirements are met
    • Coordinate with outside trucking companies when necessary.
    • Report all receipts and shipments to Finance

Compensation: The hourly wage for this role is $27.00 to $32.00 per hour. Actual rates will vary and are based on a candidate’s relevant education, qualifications, experience, skillset, competencies, internal equity, location and alignment with market data.

Must Requirements:

  • Associates Degree and 2-5 years related administrative/office experience, or equivalent education/experience combination.
  • Bachelor’s Degree preferred.
  • Database management skills and ability to learn new database systems.
  • Strong computer skills in Microsoft Office including Word, Excel; email and database applications. Working experience with Google Docs and Sheets, a plus.
  • Ability to communicate and maintain professional relationships with all levels of employees and external vendors and contacts.
  • Excellent oral and written communication skills.
  • Strong organizational skills, ability to prioritize and meet deadlines.
  • Self-starter, able to take minimal direction on tasks and see them through to completion.

Preferred Requirements:

  • Experience in a similar role at a large-scale winemaking production facility, beneficial but not required.
  • An affinity for data and systems.
